Position Description
As Via's Business Operations Coordinator, you will work closely with the operations team including the Chief of Staff, Financial Controller, and Community & Culture Manager. With an eye toward continuous improvement and efficiency, you will support and improve Via's day-to-day operational processes. This role involves a blend of strategy and execution and is ideal for a doer that is excited by the opportunity to grow alongside the organization.
You will
Support day-to-day and month's close financial activities, including billing, expense reporting, grant management, time tracking, and similar
Manage office & facilities duties, including supplies ordering, deliveries and visitor management, lab maintenance coordination and other facilities tasks as needed
Ensure that we fulfill our recurring insurance, reporting, taxes, and other registration requirements
Manage the relationship with Via's external IT vendor
Produce and maintain business operations reference documents, SOPs and other collateral
Support scheduling and calendar management for the leadership team as time permits
Perform special projects and other related duties as needed
The ideal candidate will have most, if not all, of these qualifications:
Bachelor's degree or equivalent experience in a business operations, office management or similar role.
Ability to work onsite at our Watertown location, Monday-Friday
Strategic thinker and willingness to implement solutions
Ability to execute effectively with limited guidance and in ambiguous situations
Extremely versatile and agile
Biased towards action
U.S. Work Authorization is required for this role
