Business Operations Specialist

Cramer Fish Sciences (CFS) is seeking a Business Operations Specialist to join our team in Portland, OR.

The Business Operations Specialist, under the direction and leadership of the VPO, will plan, direct, coordinate, and oversee operations-related activities in the organization such as facilities, commercial insurance policies, fleet management and maintenance, asset management, and other support duties; ensuring development and implementation of efficient operations and cost-effective systems to meet current and future needs of the organization.

Essential Responsibilities

  • Assist the VPO in administering tasks to support the growth and operations of the organization.
  • Work in partnership with the VPO to establish, implement, and communicate projects that are important to the strategic direction of the company.
  • Support the Director of Finance and Controller and collaborate with leadership across regions, business units, and departments to develop and meet organizational goals, KPI's and budget/forecast targets.
  • Ensures that all administrative tasks are completed for business licenses, insurance, state registrations, vehicle and facility maintenance, inventory management, and all other tasks or duties necessary to operate the business.
  • Oversee all shipping and transportation-related policies and procedures, ensuring transportation and shipping are done effectively and with the best prices and service possible.
  • Develop meaningful Standard Operating Procedures (SOPs) and create training materials for staff.
  • Partner with HR on safety compliance and actively participate in safety committee meetings.
  • Assist the Business Support Team with purchasing and expense management.
  • Be a super user of key business systems and software.
  • Fleet management involves overseeing and coordinating various aspects of a company's vehicle fleet. This includes tasks such as:
    • Vehicle acquisition and disposal: Managing the purchase/lease and sale of vehicles.
    • Maintenance and repairs: Ensuring vehicles are regularly serviced and repaired as needed.
    • Fuel management: Monitoring and optimizing fuel usage.
    • Driver management: Training, scheduling, and monitoring drivers.
    • Compliance: Ensuring all vehicles and drivers comply with relevant laws and regulations.
    • Cost control: Managing expenses related to the fleet to maximize efficiency and reduce costs.
  • Facilities management involves the coordination and oversight of all activities related to maintaining and managing a company's physical assets and infrastructure. This includes:
    • Building maintenance: Ensuring the upkeep and repair of buildings and their systems (e.g., HVAC, plumbing, electrical, pest control, janitorial).
    • Space management: Optimizing the use of space within a facility to meet organizational needs.
    • Safety and security: Implementing measures to protect the facility and its occupants. This includes emergency planning and compliance.
    • Cleaning and janitorial services: Maintaining cleanliness and hygiene standards.
    • Utilities management: Managing the consumption and efficiency of utilities like water, electricity, and gas.
    • Compliance: Ensuring the facility adheres to relevant regulations and standards.
    • Sustainability initiatives: Implementing practices to reduce the facility's environmental impact.
Required Qualifications & Expertise

  • Bachelor's degree in business administration or related business discipline with at least 5 or more years of related experience.
  • General understanding of basic company operations, facilities, insurance, and administrative duties.
  • English usage, spelling, grammar, and punctuation.
  • Proper telephone etiquette.
  • Basic usage of modern office equipment.
  • Proficient in Microsoft Office 365, especially Excel, intermediate or higher.
  • Basic mathematical principles.
  • Principles and practices of working safely.

Physical Requirements

  • Must have visual acuity, clear speech, strong manual dexterity, and keen hearing.
  • Ability to lift and carry up to 30 pounds.

Compensation & Benefits: $70,850 - $92,190 per year, depending upon experience. 401(k) has a 3% match and full vesting after one year. The annual cash bonus has a 3% target. The benefit package includes medical, dental, vision, basic life, long-term disability, flexible spending accounts, employee assistance programs, paid time off, paid company holidays, and other various voluntary benefits.

ESOP: CFS is a 100% employee-owned company. Our employee stock option plan (ESOP) is a qualified defined contribution plan. Our target ESOP contribution is 5%. Eligibility is after one year of service with an entry date of Jan 1 or July 1.
