Who We are Looking For:
We are seeking a highly motivated and detail-oriented individual to join our team as a Business Operations Specialist. This is a critical role that supports our sales and production teams, acting as the central hub for information and coordination. You'll be the person who ensures the gears of the business are turning smoothly, translating sales wins into actionable project plans and keeping everyone on the same page. While the core of this job involves working with data and administrative tasks, your innate curiosity and drive for efficiency will allow you to make a significant impact on how we operate.
This position is a reactive role, requiring someone who can quickly pivot and problem-solve. You'll work closely with sales team members, providing them with the support they need to close deals and transition projects smoothly.
What You Will Do
Sales Team Support
- Manage administrative tasks associated with sales opportunities and projects
- Work with the sales team to ensure all necessary information is captured and organized
- Coordinate the creation of project-specific communication channels and shared drives
- Assist in the transition of won projects from the sales pipeline to the production team.
Production Team Support
- Gather and organize information from various sources (e.g., Slack, email) to create clear project briefs
- Work with the production team to ensure all production metadata is accurately captured and project timelines up to date
- Ensure time keeping codes are correctly assigned and communicated for proper project billing and tracking
- Provide regular announcements and updates to the team, ensuring everyone is aligned on priorities
General Operations
- Identify opportunities to improve processes and create more efficient workflows
- Act as a leader, taking ownership of tasks and seeing them through to completion
- Communicate effectively with all team members, demonstrating a strong grasp of the English language and business acronyms
What You Will Need to be Successful
- Strong organizational skills with a keen eye for detail
- Strong project management skills
- Prior experience in an administrative or operations role is a plus
- A background in accounting or a related field is a bonus
- Proven ability to work independently and know when to ask for help
- Excellent written and verbal communication skills
- High level of curiosity and a drive to improve processes
- Experience in a small business environment is a plus
Compensation
The hourly range for this role is $15.00 to $25.00 and applies only to jobs performed in Culver City, California. This range represents the lowest to highest salary we reasonably and in good faith believe we would pay for this role at the time of this posting. Please note that we may ultimately pay more or less than the posted range, and the range may be modified in the future. An employee’s position within the salary range will be based on several factors, including but not limited to relevant education, qualifications, certifications, experience, skills, geographic location, performance, and business or organizational needs.
