SUMMARY
We are seeking a highly motivated, detail-oriented, and customer-focused professional to join the Sales Operations team. The Senior Sales Operations Specialist provides operational and strategic support to the Sales Team. The Specialist is an integral partner to their Sales team and consistently ensures operational excellence and efficiency.
We are located in Hingham MA (south of Boston). We are an engineering and manufacturing company that builds custom high vacuum process capital equipment for a range of applications that include aerospace testing and thin film coatings.
Our work orders are project-based, typically unique, and range in size and scope from <$50,000 to $10MM+
ESSENTIAL JOB FUNCTIONS
- Collaborate and build strong relationships with cross-functional teams including Finance, Engineering, and Manufacturing
- Understand product offerings and processes to collaborate with Sales deal structuring
- Identify and participate in process improvement initiatives
- Coordinate inquiry to quote process by:
o Oversee Hubspot process throughout sales cycle
o Maintain quote records on company server
o Ensure clean and accurate data for deals in the pipeline
o Maintain CRM
o Track and follow-up on inquiry/deal workflow
o Help ensure timely responses to inquiries
o Support generation of monthly forecast and performance reporting
- Review and edit proposal documents prior to submittal
- Support Sales Manager in Order Release Process, Contract Administration, Change Order Management, and Customer Compliance Documents
- Support inbound and outbound marketing initiatives
- Coordinate review of contracts with Finance
- Manage Non-Disclosure Agreement records
- Coordinate tradeshow schedules, registration, and logistics

EXPERIENCE, EDUCATION & SKILLS
- 2+ years post-secondary education required or relevant work experience in a sales or customer service environment. Experience working in a manufacturing environment is a plus
- Technical aptitude and experience with HubSpot is strongly preferred
- Ability to work in a fast-paced environment with flexibility to manage and change priorities when necessary
- Familiarity with sales cycles and environments
- Excellent written and verbal communication skills to interface with customers and our staff

Pay: $52,000.00 - $78,000.00 per year
