Reports To: Director of Finance
A. Purpose and Scope of Position
This role will be responsible for supporting all sales operations activities, including sales forecasting, and making sure sales teams are appropriately maintaining accurate sales activity records. This position plays an essential and strategic role in sales operations, from managing a set of business activities such as tracking sales, managing sales data, supporting the processing of commissions, evaluating the general health of the sales process, evaluating the team’s performance, and preparing sales reports. This position will be responsible to collect, organize, analyze, interpret, and present sales-related data to enable the Commercial team and top decision-makers to understand the key insights into which strategies are working, which ones are failing, and what needs to be done to improve the working process.
B. Organizational Relationship
This position reports to Director of Finance. This position works with all key departments to oversee the operations and workflow related to sales including, but not limited to, Sales, Marketing, Field Operations, National Accounts, and Customer Care. Further, the sales operations analyst must present unexploited business opportunities which can be pursued to boost the company’s revenue.

Specific Job Duties/Responsibilities

Develop and maintain an understanding of the requirements of the Food and Drug Administration (FDA); American Association of Tissue Banks (AATB); International Organization of Standardization (ISO) 13485; Medical Device Single Audit Program (MDSAP); and other regulatory jurisdictions, as applicable, to help the company lead the Medical Device and Biologics industries in quality practice

Adhere to Xtant Standard Operating Procedures (SOPs) and safety protocols, FDA Regulations for Human Cells, Tissues, and Cellular and Tissue-Based Products (HCT/Ps) and Devices; operate in compliance with FDA, AATB, ISO, and Occupational Safety and Health Administration (OSHA) Standards

Develop and maintain an understanding of the Xtant products and general biological and chemical systems utilized within the Department. Know how the activities performed in the Department are controlled by and interact with the Quality System and how they affect the production of medical devices and tissues as applicable

Analyze data to provide impactful visualization and dashboards, ensure complex data is understood and product efficiencies to give the sales team the output needed to plan marketing activities

Sales analytics and reporting, dashboard creation and scorecard updates

Quota calculators/trackers creation and administration

RVP forecast and Sales funnel administration

Managing product and sales databases

Analyzing and reporting on customer performance

Prepare, present, and distribute data interpretations to improve sales

Perform analysis of the inventory, sales practices, and rate of turnover

Appraise the sell-out and stock-out levels and share with the production department to ensure adequate inventory is obtained and delivered on-time

Conduct daily administration, project management, and auditing of the CRM platform

Upfront sales administration and assistance

Collaborate with Sales team on incentive program development

Create, administer, and analyze standard and custom reports in PowerBI
-
Contribute to research projects using various data sources to build KGI models
-
Pull reports for various territories and distribute appropriately

Identify and implement areas for sales process improvements

Maintain and audit account assignments and territory accuracy

Assist with IA commission calculations as necessary

Perform agent and contract margin analysis as requested by finance

Ad-hoc reporting and analysis as required by commercial and finance

Financial Responsibilities

Submit timely expense reports and abide by the Expense Reimbursement Policy

Participate in training plans and programs and complete in a timely manner within set deadlines

Complete required training prior to attempting to perform a task

Assist in the completion and retention of documentation pertaining to all SOPs as required

Legibly and accurately complete all documentation associated with assigned duties in accordance with GDP and review the written documentation of others as required

Maintain information in physical and electronic files as required

Train on and demonstrate proficiency in Xtant Medical’s document control system

Complete required training, including initial orientation and environmental health and safety training, prior to performing tasks. Keep training up to date

Perform all duties according to established procedures and follow appropriate safety precautions and measures

D. Job Requirements

Education/Credentials Experience & Training
-
Bachelor’s degree in Business or another analytical degree is required
-
Minimum of two (2) - three (3) years’ experience as an analyst is preferred
-
Competence in data science and data analysis with a strong background in data analysis

Technical Requirements/Skills

Advanced Excel knowledge working with large dataset

5. Working Conditions
-
Working conditions are normal for an office environment. Standard office hours are Monday – Friday; 8:00 am – 5:00 pm. Work will require occasional weekend/evening work

Work may require long periods of sitting, standing, and working at a computer

Must adhere to all health and safety requirements specified when entering laboratory and device manufacturing areas and in the handling of company products
