GENERAL DESCRIPTION:
A Sales Operations Manager should be capable of handling a wide range of tasks pertaining to the Colostrum and Contract Manufacturing sales operations. Primarily, a Sales Operations Manager should ensure that your sales processes and teams are operating optimally.
ESSENTIAL DUTIES:
Management Lead
First back up to Sr Director of Sales Operations
Support training and answering of questions to Sales Operations Rep
Managing Labels Forms – Primary
· Submission of form to teams
· Daily follow up on processing/approval of new label
· Relaying to customer label status
· Complete new or update label form and submit to teams for review by BD
Management of Quality Tasks – Primary
· Follow up and submission in Teams Change Controls in process
· Follow up and submission in Teams for Document Requests in process
· Update and Manage Quality Documents Folder in APSLB toolbox ensuring update documentation for pulling
Production and Shipping Schedule Management Primary (exception 11.3)
· Send customer open order updates
· Meet with Scheduler weekly for line by line to ensure promise estimated ship date are on track
· Work with Director of Sales Ops to track shipment numbers to ensure that monthly/quarterly revenue goals are met
· Create shipping schedule based on quality release confirmed by Quality and shipment prepped orders confirmed by shipping team
· Work cross-functionally with departments to brainstorm on getting an order back on track to promise shipped date
· Actively communicate with company and customers of concerns not order due to; not scheduled, packaging delays, supply delays, inventory issues, quality concerns, etc.
Order Entry – Secondary
· Checking of entered SAP SO for accuracy
· E-mailing new, updated, and cancelled sales orders to internal team
· Sending order acknowledgment and/or order cancellation acknowledgment to customers
· Updating any order changes or cancellation in SAP and sharing update in Teams Change chat
Updating Orders to Ship Sheet (OTS Sheet) - Secondary/Alternating
· Adding new stock and samples orders
· Tracking CofA status
· Allocating stock lots to OTS sheet
Invoicing – Secondary
· Posting credits
· Issuing proforma invoices
· sending out customer account statements
· Assist with annual financial audits providing invoices and support shipping paperwork
Sending Out Tracking Documentation
Managing phones – Secondary
· Taking detailed messages if not available
· sending follow up emails for sales leads
Freight Arranging – Secondary
· Obtain freight quotes from either the internal shipping department or third-party agency (dependent on shipment destination)
· Send quote for customer and approval and add to Sales Order upon quote approval
· For international shipments, provide freight agent final shipping invoice and complete SLI document the following morning after shipment leaves dock
"C" Customer Sales Management - Secondary/Alternating
· Send monthly forecast emails to customers to confirm upcoming needs
· Submit new product and/or product change requests in new project teams for processing
· Follow up on outstanding customer needs to secure new orders (i.e. requested documentation, complaints are resolved, pricing negotiations, etc.)
Obtaining Export Documents – Third
· Applying for AMS/ATLAS/EDOC/APHIS certificates prior to shipping (Template dependent on destination country)
· Reading through USDEC prior to new or updated guidelines and updating internal team of upcoming export changes
· Create Certificate of Origin (Template dependent on destination country)
· Completing and reviewing export checking list prior to shipping ensuring all documents are on hand for export
· Scan full set of documents to be shared with the customer and saved to Sharepoint
· Assist with AMS and APHIS annual audits providing scanned documents for selected documents
QUALIFICATIONS:
· 3+ years of experience - 1+ in a sales role and 2+ in Sales Operations
· Proficiency with SAP
· Proficiency with Microsoft Office
· The ability to understand the strategic direction and goals of the Sales Department and support appropriate processes to facilitate achievement of business objectives
· Well-developed capabilities in problem-solving and crafting efficient processes
· A result and success oriented mentality, conveying a sense of urgency and driving issues to closure
· An ability to initiate and build relationships with people in an open, friendly, and accepting manner
· An innate drive to innovate and optimize the use of available resources
· Comfort with adapting and adjusting to multiple demands, shifting priorities, ambiguity, and rapid change
Job Type: Full-time
Pay: $70,000.00 - $75,000.00 per year
