Summary

The Sales Operations Lead is responsible for providing sales administration while developing and defining key sales processes and systems to optimize productivity and enable efficiency and effectiveness of the Sales organization. This position shall increase sales productivity by simplifying processes, handling day to day connectivity and information flow between the company’s commercial program; to encompass the Sales, Finance, Marketing and Independent Distributor teams. The Lead remains a flexible resource, providing general sales support and works to maintain a high level of interaction and assistance for the sales organization while the Sales team

executes the company’s sales strategy developed by AlloSource leadership and the National Accounts Director.

Essential Duties and Responsibilities

  • Sales Operations
  • Play a key role on the team identifying opportunities, developing strategies, and designing execution of projects and programs to increase sales productivity and improve operational efficiency of the overall sales operations.
  • Based on the needs of the Sales team members, management and the Finance team, create, strategize, and lead efforts such as ongoing oversight of distributor compensation, forecasting, implementation and maintenance of resources for targeting, and pricing guidance.
  • Primary administrator of tools associated with sales performance and tracking (DocuSign, Enable), and departmental training compliance.
  • Support the Sales Organization by working with commercial finance team to develop analytical tools to identify trends to make informed decisions on business opportunities.
  • Management of product consignment process, to include policy creation, agreement drafting, coordination with Customer Success and field Sales personnel to monitor consignment inventory, auditing, and administrative oversight.
  • Independent Distributor Program
  • Is a single point of contact for refinement and management of Independent Distributor process and administrative relationships.
  • In coordination with Finance, provides data to enable economic & financial analyses including development, evolution and support of business cases, strategic planning and market analyses for the Independent Distributor market and specific opportunities.
  • Handle requests by AlloSource Sales personnel to establish new Independent Distributor agreements.
  • Management of Independent Distributor application process, background checks, agreement drafting, administrative implementation, internal checklist and process flow for approvals, notifications, and training.
  • Creation of and/or compilation of materials to be used for Independent Distributor onboarding.
  • Completing and/or facilitating onboarding to include training meetings to ensure understanding of AlloSource sales model, operations, and products and services.
  • Identify, minimize and resolve issues that can impact distributor onboarding and all aspects of the administrative relationship between AlloSource and the distributor.
  • Post sign-on activities to include drafting of timely contract amendments, assisting Area Managers with preparing business reviews, annual renewals and termination notices of Independent Distributor Agrements.
  • Ensuring communication to appropriate AlloSource stakeholders with respect to Independent Distributor enrollment and status changes.
  • Provide outstanding support to Independent Distributor by strengthening administrative relationships by providing consistent, best in class sales support.
  • Coordination of meetings between key staff and Independent Distributors to improve communication and relationships to increase sales and resolve customer service issues.
  • Communicating opportunities, distributor business trends, and issues to appropriate management/staff in a timely manner.
  • Maintain a working knowledge of all relevant distributor issues, actions and remedies for effective relationship managment.
  • Resolving distributor requests/complaints by investigating problems, developing solutions, preparing reports and making recommendations to management.
  • Domestic Sales Administration
  • Maintain a corporate office presence to provide daily participation and engage cross functional resources to enable effective and timely execution of Sales/distributor needs.
  • Onsite Coordination of requests for product samples, as requested by distributors and/or Sales personnel.
  • Gather and prepare information to assist in responses to Request for Quotations (RFQ), Request for Information (RFI), Request for Proposals (RFP), product review boards and cross references.
  • Assist with updating group SharePoint page with current, revised, and updated contracts, amendments, membership rosters, and territory maps.
  • Engage Marketing resources and coordinate product specific and sales operation training program for new AlloSource Sales employees and newly onboarded distributors.
  • Manage and complete sales related projects as assigned by CBD leadership (e.g. miscellaneous requests for exporting customer and pricing information, equipment license requests and tracking).
  • Assist internal Sales staff as department administrator for the SmartSolve Document Management System.
  • Hospital credentialing system administration for Sales staff to facilitate consistent hospital account access.
  • May perform other related duties and responsibilities as assigned.


Requirements

  • Bachelor’s Degree in Business or relevant field
  • 7+ years’ experience in lieu of degree
  • 3-5+ years’ experience overseeing projects, processes, or in a business development role
  • Self-motivated with ability to work both independently and with cross-functional teams
  • Proficiency in Microsoft application


Preferred Experience

  • Familiarity with Power BI and RFP process/analytics
  • Ability to understand and apply basic contracting terms and conditions.
