About 8beehives

8beehives is an early-stage restaurant technology company building a connected AI platform for reservations, ordering, events, catering, loyalty, and guest engagement. Our mission is simple: help restaurants own their guest relationships and data while growing their businesses.

We bring together restaurant operating experience and technology leadership to build practical products for real restaurant needs.

About the Role

We are looking for a resourceful, organized, hands-on Business Operations Manager / Chief of Staff to work directly with our founders and help run the company’s daily operations.

This role spans HR and people operations, business and finance coordination, office management, and execution of company priorities. You will help establish processes, coordinate external providers, support employees, and ensure important details and deadlines are handled.

You do not need to be an expert in every area. We are looking for someone with a strong operational foundation who is willing to learn, take ownership, and personally handle both larger projects and everyday administrative tasks.

What You Will Do

HR and People Operations

Coordinate recruiting activities, interview scheduling, candidate communication, and reference checks.
Manage onboarding and offboarding checklists, documentation, equipment coordination, and internal communications.
Maintain accurate employee records, signed agreements, policy acknowledgments, and other confidential documents.
Coordinate payroll inputs, benefits administration, time-off records, and employee questions with our providers.
Track employment notices, required training, and compliance deadlines with guidance from legal and HR advisors.
Help develop practical policies and a welcoming employee experience.

Business and Finance Operations

Coordinate invoices, vendor payments, expense reimbursements, and purchasing approvals.
Maintain budget and spending trackers and help prepare cash-flow updates for the founders.
Organize financial records and coordinate with our bookkeeper, accountant, payroll provider, and insurance broker.
Track contracts, subscriptions, renewals, insurance documentation, and business deadlines.
Support customer and vendor onboarding, proposals, and business documentation.
Identify opportunities to control costs and improve administrative efficiency.

Office Operations

Manage day-to-day office needs, including supplies, equipment, services, and vendor relationships.
Coordinate with the landlord and service providers on facilities and maintenance.
Maintain equipment inventories and coordinate equipment delivery and returns.
Arrange meetings, travel, team activities, and restaurant pilot logistics.
Help maintain a productive, organized, and welcoming workplace.

Founder Support and Company Execution

Translate founder priorities into clear action items, owners, and deadlines.
Prepare meeting agendas, document decisions, and follow up on commitments.
Coordinate projects across engineering, sales, restaurant partners, and external advisors.
Research options, summarize recommendations, and help resolve operational issues.
Prepare concise business updates and presentations.
Build processes that support the company as the team and customer base grow.

What We Are Looking For

Relevant experience in business operations, people operations, office management, executive support, finance coordination, or a similar role.
Willingness to take responsibility across HR, business and finance support, and office operations.
Strong organizational skills and the ability to manage multiple priorities with dependable follow-through.
Clear written and verbal communication.
Comfort working with spreadsheets, budgets, documents, and business software.
Sound judgment and discretion when handling confidential employee, financial, and company information.
Ability to work independently, recognize problems, and move tasks through completion.
A practical approach to working with outside specialists when expert guidance is needed.
Willingness to work full-time from our Sunnyvale office.

Nice to Have

Experience working at an early-stage startup or directly with founders.
Experience across HR, finance coordination, and office operations.
Familiarity with ADP RUN, accounting software, and Google Workspace.
Experience supporting recruiting, onboarding, payroll, and benefits administration.
Experience tracking budgets, expenses, contracts, and vendor relationships.
Familiarity with employment compliance, confidential records, and data privacy.
Experience in restaurant technology or hospitality.
Comfort using AI tools to improve productivity and simplify administrative work.

What Success Looks Like

Employees receive a smooth, organized onboarding experience.
Payroll inputs, invoices, reimbursements, and records are handled accurately and on time.
Company deadlines, renewals, and commitments are tracked reliably.
Office operations run smoothly, and employees have the resources they need.
Founders have clear visibility into spending, operational priorities, and outstanding decisions.
Important projects move forward with clear ownership and consistent follow-through.

What We Offer

Competitive compensation based on experience, skills, and the scope of the role.
Meaningful equity ownership in an early-stage company.
Medical, dental, and vision benefits.
The opportunity to build the company’s people, business, and office operations from the beginning.
Direct collaboration with the founders and restaurant operators.
A collaborative team focused on building technology that delivers measurable value.
Opportunities to grow into broader operational leadership as the company expands.
