Applix | U.S. & India Operations

About the Role

Applix is looking for a resourceful, detail-oriented Finance & Business Operations Associate to support our day-to-day financial, administrative, and business operations across the United States and India.

This is a hands-on, cross-functional role spanning accounting support, invoicing, collections, payroll, HR administration, vendor management, and general business operations.

We're looking for someone with a solid foundation in accounting or finance who enjoys solving problems beyond the numbers. Someone who can independently manage responsibilities, navigate unfamiliar situations, and keep things moving in a fast-paced, growing company.

You'll work closely with leadership and coordinate with employees, customers, vendors, accountants, attorneys, and other external partners.

What You'll Do

Finance & Accounting Operations

Manage customer invoicing, accounts receivable, collections, and vendor payments.
Track purchase orders, timesheets, billing milestones, and outstanding payments.
Maintain financial records, expenses, and reconciliations using QuickBooks and other business tools.
Coordinate payroll, reimbursements, contractor payments, and compensation tracking.
Monitor cash flow, project costs, and key financial metrics, providing clear updates to leadership.
Work with external accountants and tax advisors on bookkeeping, financial reporting, audits, and statutory compliance.

Business Operations & Administration

Coordinate day-to-day business operations across our U.S. and India entities.
Manage vendor onboarding, contracts, procurement, subscriptions, and renewals.
Maintain business registrations, insurance, corporate records, and compliance documentation.
Coordinate with banks, accountants, legal counsel, and other service providers.
Identify operational bottlenecks and improve internal processes.

HR & People Operations

Coordinate employee and contractor onboarding, offboarding, and documentation.
Support benefits administration, payroll changes, employee records, and leave tracking.
Track employment agreements, compensation terms, and HR-related deadlines.
Coordinate immigration and work authorization matters with external attorneys.

Coordination & Execution

Track open items, deadlines, approvals, and commitments through completion.
Proactively follow up with customers, employees, vendors, and external partners.
Investigate discrepancies, resolve issues, and escalate matters appropriately.
Support leadership on evolving operational priorities and special projects.

What We're Looking For

2–5 years of experience in finance, accounting, business operations, or a related role.
A solid understanding of accounting fundamentals, AP/AR, invoicing, reconciliations, and financial administration.
Strong Excel or Google Sheets skills; familiarity with QuickBooks or similar software.
Excellent organizational, analytical, and problem-solving skills.
Strong written and verbal English communication.
Ability to manage multiple priorities, work independently, and follow through consistently.
Comfortable working across finance, HR, administration, and operations rather than within a narrowly defined function.
High attention to detail, sound judgment, and discretion with confidential information.
Resourceful, adaptable, and quick to learn, with a strong bias toward action.

Preferred

Degree in Accounting, Finance, Business Administration, Commerce, or a related field.
Experience supporting U.S. and India business operations.
Exposure to payroll, benefits, vendor management, or HR administration.
Familiarity with QuickBooks, Gusto, Ramp, or similar platforms.
Experience working in a startup, consulting, technology, or professional services environment.

Who Will Thrive Here

You're someone who takes ownership rather than simply completing assigned tasks.

If an invoice is overdue, you follow up. If a payment doesn't reconcile, you investigate. If an employee needs help with documentation, you coordinate it. If a process is inefficient, you find a better way.

You're comfortable switching between financial details and broader operational responsibilities. You move quickly without sacrificing accuracy, communicate proactively, and know when to ask questions or escalate.

We're looking for someone who combines financial discipline with operational agility, someone who can keep the numbers organized and the business moving.
