Behind every growing company is someone who keeps the trains running, sees around corners, and turns good ideas into repeatable processes.

At Katalyst Group, we're looking for a Business Operations Manager who enjoys bringing structure to complexity, improving how work gets done, and helping a business scale thoughtfully. This role sits at the center of our organization, partnering with recruiting, sales, finance, operations, and leadership to keep the business moving forward.

If you're someone who notices inefficiencies, asks thoughtful questions, takes ownership, and enjoys building and executing processes that make everyone's job easier, we'd welcome a conversation.

The Opportunity

As Business Operations Manager, you'll serve as the operational hub of Katalyst Group and a trusted partner to company leadership. You'll help coordinate the people, processes, reporting, and workflows that support our Executive Search and Project Resources businesses.

This isn’t merely an administrative role. It's an opportunity to influence how a growing company operates, improve systems and processes, and create the structure that allows the organization to continue scaling successfully.

You'll have broad exposure across the business and the opportunity to work directly with the CEO on key initiatives, operational priorities, and day-to-day execution.

What You'll Do

Drive Operational Excellence

Coordinate workflows across recruiting, sales, operations, finance, and leadership teams
Monitor key operational activities to ensure projects, placements, onboarding, billing, and reporting move forward efficiently
Maintain and improve operational processes, documentation, and workflows
Identify opportunities for automation, efficiency, and continuous improvement
Help create structure and accountability that supports company growth

Support Recruiting & Production Teams

Coordinate recruiting workflows and job order administration
Maintain production scorecards, activity reporting, and key performance metrics
Support placement processing, onboarding readiness, and documentation requirements
Assist with administration of Bullhorn, LinkedIn Recruiter, and other systems
Coordinate outsourced recruiting resources and related operational activities

Support the Business Behind the Business

Manage onboarding and offboarding processes
Coordinate timecard approvals, billing readiness, and recurring operational reporting
Assist with payroll, benefits administration, employee records, and related documentation
Coordinate vendor relationships, recurring business requirements, and administrative processes
Support compliance and recordkeeping activities

Partner with Leadership

Serve as a trusted operational partner to the CEO and leadership team
Help drive follow-through on key initiatives, projects, and priorities
Coordinate meetings, reporting packages, action items, and ongoing business activities
Provide visibility into operational performance and opportunities for improvement

How Success Is Defined

The business operates more efficiently because of your efforts
Reporting is accurate, timely, and actionable
Operational processes become more scalable and consistent over time
Onboarding, billing, and administrative workflows run smoothly and predictably
Team members spend less time navigating administrative challenges and more time serving clients and candidates
Leadership has greater visibility into business performance and fewer operational bottlenecks
You know the business backwards and forwards

Who Thrives at Katalyst

This role tends to resonate with professionals who:

Take ownership and follow through on commitments
Naturally identify opportunities to improve processes and eliminate inefficiencies
Ask thoughtful questions before jumping to solutions
Are comfortable balancing multiple priorities across different departments
Can confidently drive projects forward and influence outcomes without relying on formal authority
Enjoy creating order, structure, and accountability
Build strong working relationships while maintaining high standards
Are discerning about where they focus their time and energy to create the greatest impact

Experience in staffing, recruiting, operations, project coordination, HR, or business administration will certainly be helpful, but curiosity, initiative, and a desire to build are equally important.

If you're energized by solving problems, building better ways of working, and being a trusted partner within a growing organization, we'd appreciate meeting you.
