JOB TITLE: Sales Operations Specialist, Nova Eye, Inc. (Permanent, Full Time)

DEPARTMENT &

REPORTS TO: Sales Operations Manager – Adelaide (South Australia, Australia)

ROLE PURPOSE:

Reporting to the Sales Operations Manager, this role engages closely with cross-functional teams, including Sales, Marketing, Customer Service, Accounts Receivable, Operations and Quality, to streamline inbound sales processes and support the USA field sales team. The position broadly covers sales analysis and reporting, maintenance of sales records/CRM and the management of VAC and other sales-related registration/approval processes. The incumbent will actively contribute to the company's growth by collaborating with the President, USA Sales to optimize the performance of the USA field sales team and will analyze field performance across all channels, KPI’s and other measurables to identify strengths, opportunities, gaps and areas for improvement. The role will also be responsible for upgrading the the existing CRM system to better meet the needs of the growing Nova Eye Medical business.

RESPONSIBILITIES:

Sales Analysis and Reporting

Prepare, review, and distribute regular reports on the analysis of USA sales, including but not limited to:

MTD sales report (daily distribution)
Monthly sales report per rep
Monthly sales report per customer
Monthly sales report per customer type
ROI assessment per event/activity

Prepare, review and distribute regular reports on the analysis of the USA sales team i.e., Monthly KPI reports, lead conversion.

VAC Process

Implement efficient and standardized procedures for managing Valued Analysis Committee (VAC) applications and sales-related registration/approval applications, ensuring a prompt response time, accurate data entry, and seamless communication between the USA field sales team and internal stakeholders.
Determine the scope and timeline of each VAC application and coordinate the input of internal stakeholders, collaborating and seeking input for answers across stakeholders.
Compile and distribute approved documentation to third-party vendors in relation to VAC applications and similar.
Complete VAC documentation and data entry requirements on behalf of the USA field sales team.
Manage, develop and maintain VAC library content.
Manage the various VAC and similar portals.
Manage VAC specific pricing, communication with accounts and assist with collections
Manage and report on VAC costs.
Develop knowledge of the business, its products and services by reading and reviewing previous VAC applications and spending time with sales, marketing and technical functions.

Lead Planning and Management

Coordinate lead planning in collaboration with the President, USA Sales.
Analyze and interpret third-party data sources to identify lead opportunities for the USA field sales team.
Collaborate with Marketing to prepare content to assist the USA field sales team in their lead generation efforts.

Customer Relationship Management (CRM)

Assume the role of subject matter expert for Nova Eye Medical’s CRM system.
Assist the USA field sales team with CRM related tasks and data entry, particularly surgeon names and NPI.
Identify and document CRM best practices, communicate them cross-functionally, and drive their adoption.
Train the USA field sales team and other users on the CRM system.
Populate leads from tradeshows and other events; track and report the ROI on tradeshow lead conversion.

Trunk Stock Management

Manage the reconciliation of trunk stock for the USA field sales team, including transacting transfers in QAD.
Assist with inventory discrepancies, reporting and management as required.

Compliance

Ensure the USA field sales team has completed the necessary SOP reading, as per the Quality Management System (QMS) (Note: key indicator for monthly KPI summary).

Other Responsibilities

Provide assistance to the USA field sales team for regional tradeshow program, co-ordinating with Marketing, as required.
General administration as required.
Improvements to processes including modernization of current practices.
Comply with company policies and procedures.
Perform other duties as required.

QUALIFICATIONS / EXPERIENCE

Accounts receivable experience
Experience with US based field sales team
Experience with QAD (or equivalent ERP) advantageous
Experience in medical device / medical field advantageous
Possess excellent oral, written and interpersonal skills
Strong computer skills including Microsoft Office suite of programs

EDUCATION:

Business School, Associates degree or equivalent is advantageous

Communicate effectively (written and verbal) to collaborate with senior sales leadership and cross-functional departments, including Sales, Marketing, Operations, Accounts Receivable, Quality and Customer Service.

COMPENSATION

Salary guidance: $75,000 - $85,000 per year depending on experience.

COMPANY BACKGROUND:

Nova Eye Medical Limited (Nova Eye) owns three businesses in ophthalmology; 1) the Nova Eye Inc “iTrack” business based in Fremont, California that designs, manufactures and sells surgical products for treating glaucoma 2) the Nova Eye Medical “2RT” business based in Adelaide, Australia that has pre-commercial, highly prospective technology for treatment of people with early to intermediate age related macular degeneration and 3) the Molteno glaucoma drainage device based in Dunedin, New Zealand.
