SUMMARY: The Director of Business Operations supervises all bookkeeping duties, including accounts payable, accounts receivable, and payroll; also manages the day-to-day office functions, including the supervision of central office personnel, and oversees the administration of the organization’s human resources, employee benefits, insurances, and other financial-related duties assigned by the CEO.

QUALIFICATIONS:

Educational Requirements:

Minimum of an associate degree in accounting, bookkeeping, or business with a concentration in accounting preferred. The associate degree requirement may be waived if applicant can demonstrate comparable competence.

Experience:

Minimum of five years employment experience in accounting, bookkeeping, business, or human resources. Experience in a Medicaid Waiver funded operation is preferred.

Knowledge/Skill Requirements:

Computer software and basic computer skills.

Math and finance skills including basic accounting.

Good skills in communication and writing, including grammar and punctuation.

Basic organizational skills in order to complete all assigned tasks in a timely manner.

Ability to complete required forms and follow oral or written instructions.

Ability to effectively work as part of a leadership team.

Legal/Certification Requirements:

Certified in Cardiopulmonary Resuscitation, Automated External Defibrillation and Standard First Aid – or willingness to be certified by the Arc Wabash County upon hire.

Other:

Must be at least 21 years old.

Must not pose a direct threat to the safety or health of himself/herself or of others.

Must demonstrate a willingness to accept supervision, giving and receiving constructive feedback that contributes to professional and organizational growth.

Must not be listed with a finding on the list of Indiana Registered Nurse Aides.

Must not be listed on the registry of the Health and Human Services Office of Inspector General,

Fraud Prevention and Detection Exclusion Program.

No convictions of any crimes listed in Title 460 IAC 6-10-5 on Limited Criminal History Check.

WORK RELATIONSHIPS:

The Director of Business Operations:

-works under the direct supervision of Arc’s President/CEO;

-supervises central office personnel;

-works cooperatively with all other Arc staff;

-works cooperatively with auditors and funding sources;

-relates to persons served in a respectful, adult manner;

-maintains professional and respectful relationship with persons served and other Arc staff.

ESSENTIAL DUTIES:

Perform Accounts Payable duties.

- Maintain documentation of any purchases.

- Write checks and keep in balance agency financial accounts.

Perform Accounts Receivable duties.

- Prepare and submit to the State, billing for services, and Medicaid Waiver Services contracts.

- Prepare and submit monthly billing to third party vendors.

- Prepare and submit quarterly billing to county Auditor.

- Assure that all incoming cash is receipted and deposited.

Maintain proper filing system for audit tracks.

Prepare agency staff payroll and provide accurate information to ADP for payroll generation.

Prepare and maintain information for the Arc Board of Directors, including monthly Treasurer's Reports.

Act as liaison between agency and auditor regarding monthly and annual financial reports.

Submit required data to Arc’s Directors as requested and needed.

Compile wage reports for persons served and/or staff as requested by public benefit agencies.

Assist CEO in creating the annual budget.

Maintain inventory of equipment.

Act as the liaison for the Arc’s technology and serve on the Board Risk Management Committee.

Maintain an Emergency Succession Plan for the Bookkeeper/HR Generalist position, prepared in conjunction with the CEO.

Perform office management duties as follows:

- Schedule office personnel and assure that all office tasks are completed in a timely manner.

- Open mail; sort and deliver accordingly.

- Maintain and file items in staff personnel files.

- Maintain medical and life insurance files for staff.

- Process Worker's Compensation claims as necessary.

- Provide employees with medical/dental insurance forms as requested.

- Provide employees with enrollment packet for Defined Contribution Retirement Plan as they become eligible.

- Monitor annual hours worked per employee to ensure continued eligibility for Retirement Plan.

- Complete "Office Procedures" section of New Staff Orientation Checklist.

- Compile employee's office supply requests; order needed supplies and distribute as requested.

Participate as a member of Arc's Leadership Team.

Follow CARF standards regarding job responsibilities and assist with preparation for CARF surveys.

Maintain OSHA records and forms with regard to workplace accidents/injuries.

ESSENTIAL GENERAL DUTIES:

Continually monitor the safety of the program environment and immediately report concerns to supervisor;

instruct persons served in appropriate safety habits.

Protect the rights of persons served according to agency and State regulations and ensure that individuals

have the ability to exercise those rights.

Protect persons served from any act of abuse, neglect, exploitation, fraud or mistreatment.

Follow agency and State guidelines for reporting accidents/incidents.

Act as an advocate on behalf of persons served.

Meet or exceed the minimum standard criteria in all categories of the Job Performance Evaluation.

Assist in conducting building security check-out at the end of the day.

Maintain confidentiality of persons served at all times; follow agency and HIPAA requirements.

Participate in and assist persons served during emergency drills.

Submit requests to supervisor for needed items and equipment.

Practice Universal Precautions and Infection Control at all times.

Know and follow agency policies and procedures.

Adhere to assigned work schedule.

Perform appropriately and effectively in crises and/or when under pressure.

Attend staff training sessions and continue to upgrade skills by personal study of developments in the field.

Maintain appropriate public relations and positively represent Arc in the community.

OTHER DUTIES:

Perform other duties as assigned by Supervisor.
