Business Operations Manager, Deer Mountain Day Camp (year-round)

CampHire is recruiting a Business Operations Manager to join the leadership team at Deer Mountain Day Camp, a picturesque mountainside camp located on 25 acres in Pomona, NY. Since 1965, Deer Mountain has served campers ages 3-15 from the New York City area, as well as New Jersey, Westchester, Rockland County and Orange County.
This is a full-time position in the summer and a part-time position from Sep-May.
Summer hours are typically Monday through Friday from 7am-6pm for the 39 days while camp is in session. Offseason hours vary and are flexible (~10+ hours per week). Compensation is $35k-$45k plus health insurance, retirement benefits, and meals during the summer months. The position is based in Pomona, NY.
Overview
Reporting to the Camp Owners & Directors, this position is a member of the leadership team and a central logistics, planning, and administrative leader during the offseason, and is responsible for managing day-to-day office operations activities at camp throughout the summer. This position partners closely with senior camp leaders and is the primary contact for camper families and staff.
This role provides the opportunity to have a meaningful impact on the culture and community at camp and be an influential voice in designing efficient systems that enable a seamless camp experience for campers and staff. The ideal candidate has a background in business administration and a passion for delivering elevated service experiences to customers.
What you’ll do
- Camper Registration: Manage camper registration from end-to-end, including processing applications, tracking enrollment forms, managing data records, sending communication reminders, and facilitating tuition payments.
- Office Communications: Manage camp’s general email inbox and voicemail, responding to messages in a timely manner, and relaying messages to relevant team members.
- Serve as a trusted point of contact for all current camp families and staff, ensuring seamless communication and a high level of customer service.
- Vendor Management: Manage relationships with third-party vendors that provide services to camp. Review, renew, and negotiate contracts on an ongoing basis.
- Billing & Accounting: Manage all aspects of Accounts Receivable, including billing, banking and credit card processing. Manage Accounts Payable, reimbursement processes, and payments to suppliers.
- People Leadership: Lead a team of seasonal office staff and a Transportation Director, providing direction, coaching and feedback throughout the summer.
- Camper Recruitment: Support new camper recruitment by providing quality and responsive communication to prospective families with the goal of closing new leads. Assist with the planning of onsite and offsite camper recruitment events.
- Office Administration: Manage all aspects of office organization, equipment & supplies, including a calendar of events and appointments for leadership staff. Master functionality of camp database program – Campminder.
- Transportation: Manage the planning and administration of camper transportation to/from camp. Key activities include organizing bus routes, camper assignments, managing bus vendors, overseeing a Director of Transportation (seasonally), and organizing staff to support camper pick-ups and drop-offs.
- Summer Logistics & Coordination:
- Manage daily attendance, lunch forms, and orders.
- Health Center - Procure medical supplies, manage health records and coordinate communication with parents.
- Food Service - Assist Chef with ordering, menu planning, and processing invoices.
- Support Camp Mom to ensure campers & staff with food allergies and dietary restrictions are properly cared for across all areas of camp
- Oversee camp Security function.

Minimum Qualifications
- Minimum 3 year experience in office admin and/or business operations required
- Experience in customer service/hospitality preferred
- Advanced proficiency in MS Word, MS Publisher and Excel, and ability to quickly learn new systems and platforms required. Experience using camp platforms preferred (Campminder)
- Must be based within driving distance of Pomona, NY
