Position Summary The Director of Finance and Business Operations is the business leader of the department(s) that he/she supports. Working in conjunction with the chair of the department, the Director of Finance and Business Operations provides overall administrative management of the business-related functions of the academic, clinical, and mission area enterprise including budget, facilities and space, finance, grant administration (pre- and post-award), human resources, and information technology. This position is functionally aligned through Finance and operationally assigned to the Unit(s) or Department(s). This role has a matrixed reporting relationship to the Department Chair, the AVP of Finance and Business Operations leader for the Mission area. Primary Responsibilities: Strategy:
- The Director of Finance and Business Operations, with input and vision from the chair, establishes a budget based on the short- and long-term needs of the department(s) and institution including growth in academic programs, clinical arenas, and mission area functions. This involves identifying and addressing capacity and space issues, availability of resources (human and materials), and internal and external funding opportunities.
- Serve as the principal business officer and is responsible for leading and overseeing all financial management and mission‐based management affairs for the mission area units.
- Plans, directs, and participates in the delivery of operational excellence programs that relate to mission‐based management principles. Work with the unit leaders, and central office leaders on change management and execution of improvements in procedures, processes, and technology.
- Directs and supervises the activities of the administrative staff in areas including requisitions and purchasing, financial reporting and analysis, facilities maintenance, and performance feedback and evaluations. Additionally, he/she is also responsible for the administrative and operational support for recruitment, retention, training, and termination of staff.
- Responsible for safeguarding the assets of the unit by maintaining an effective system of internal controls that is compliant with the standardization and policies and procedures.
- Responsible for maintaining alignment of financial and operational practices across MSM . Unit / Department Finance Leadership:
- Develop, improve, and maintain financial models to manage the annual operating budget, and to inform departments business operations.
- Lead annual budgeting process. This involves coordinating across functional teams, identifying areas of concern, and building processes for timely completion and oversight.
- Responsibly steward and optimize the use of funds and monitor financial health to accomplish the mission of the department or unit.
- Run, manage department P&L, run proformas, reconciliations, manage budget to actuals and ultimately accountable for coming in on budget.
- Build internal systems for contracting and procurement that allow unit to make decisions quickly and pay vendors on time, and support staff in working with vendors and contractors.
- Devises comprehensive and effective systems of record management in compliance with accepted accounting procedures and other compliance standards mandated by federal and state agencies.
- Works collaboratively with leaders of other programs integrating business practices and coordinating all stakeholders to ensure optimal results are achieved in financial management of unit or department operations.
- Facilitate the faculty compensation plan data analytics and other academic survey-related data. Business Operations and Administration:
- Responsible for providing guidance and training to staff and faculty to ensure compliance with internal controls, policies and procedures, and processes of the institution and external entities.
- Represents the chair in administrative meetings and conferences. He/she must be a strategic thinker who can easily translate the vision to staff and faculty.
- Works collaboratively with leaders of other programs integrating business practices and coordinating all stakeholders to ensure optimal results are achieved in financial management of mission area operations.
- Devises comprehensive and effective systems of record management in compliance with accepted accounting procedures and other compliance standards mandated by federal and state agencies.
- Supervise the Manager of Administration and Finance and other finance staff to oversee their needs, work, and institutional requirements. This is in collaboration with the unit leadership (Chairs, Center Directors, VPs, etc.) – who have oversight responsibility with the Directors for work within their unit(s).
- Accountable for timely and accurate execution and follow up on all personnel actions.
- Responsible for accurate pay practices in unit and payroll reconciliation to budget.
Knowledge, Skills and Abilities:
- Skilled finance and administrative professional with 10+ years of experience and a track record of success .
- Experience both creating and tracking financial models, and doing the day-to-day work of ensuring timely, accurate, and compliant financial systems.
- Experience with overseeing the budgeting, accounting, financial forecasting, and analysis of financial data. Strong analytical, financial, and organizational skills.
- Expert in leading overall business operations by providing guidance in developing financial plans and policies.
- Experience in building budgets, managing budgets, maintaining fiscal health of a unit or department.
- Experience motivating and leading a team. Demonstrated leadership skills.
- High degree of accuracy, good judgement, and decision-making.
- Proven record of overseeing financial matters for an organization and other related financial needs for the mission area enterprise
- Skilled in analyzing a variety of data, developing methods for tracking and monitoring revenue expenses. Advance knowledge of financial reporting. In-depth knowledge of financial analysis.
- Ability to establish and cultivate effective relationships and teams with various levels of professionals.
- Demonstrated communication skills that include excellent organizational, people skills, and strong verbal, and written communication skills.
- Ability to work in a high-volume environment.
- Excellent time management skills and organizational abilities

- Advanced knowledge of Excel and other Microsoft Office programs
- Familiarity with Banner or other ERP systems.
Minimum Qualifications
Bachelor’s degree from a regionally accredited college or university is requiredMinimum 7+ years of progressive finance and business operations experience; andDemonstrated financial acumen, financial skills for modeling, controls and budget management.Experience supervising othersStrong interpersonal and communicative skills; andHighly detail oriented, executes with precision and accuracy.Ability to convey and explain complex information in a simplified way to others; andProficiency in multi-tasking, time management, and in establishing and organizing priorities; andExperience in operationalizing strategic plans at a departmental and organizational level.
Preferred Qualifications Undergraduate discipline in Finance, Accounting, or related business discipline and Master’s degree in business or healthcare administrationPrior work experience in an academic, clinical, and/or mission area institution15+ years of experience in finance, financial planning and analysis, and managing compliant financial systems.Minimum of five (5+) years in a supervisory roleExperience in implementing the strategic mission of the institution.Understanding of pre- and post-award grant processes and platforms for managing grants and other sponsored program funds.Unit / department applicable experience
