We are seeking an Operations Manager to lead planning/execution of operations-related projects in alignment with our mission and strategic goals.
What You Will Do:
The Operations Manager will define and develop project scopes, participate in setting deadlines, identify project team composition, track and influence team performance, and track and report results. The ideal candidate will have experience and a strong understanding of Medical Group operations and California risk bearing entities. Key projects include practice acquisitions, physician recruitment initiatives and group operating policies/procedures.
Key Responsibilities:
Project Planning and Execution: Develop comprehensive project plans outlining project scope, goals, timeline, and deliverables. Define project objectives and milestones, ensuring alignment with organizational goals and strategies. Collaborate with clinical and administrative teams to gather project requirements and establish clear expectations. Oversee the execution of multiple healthcare projects, ensuring they are completed on time, within budget, and to the required quality standards. Establish key performance indicators (KPIs) for project success and regularly monitor progress.
Cross-Functional Collaboration: Serve as the primary liaison between the medical group leadership, clinical teams, IT, and other stakeholders. Coordinate resources and facilitate communication between various departments involved in project execution. Foster strong relationships with external vendors, consultants, and contractors when required for project delivery.
Documentation and Reporting: Maintain comprehensive project documentation, including meeting minutes, project updates, and progress reports. Provide regular project status updates to senior management and key stakeholders. Track project performance against established timelines and KPIs, making adjustments as necessary. Ensure compliance with healthcare regulations, privacy laws (e.g., HIPAA), and organizational policies throughout project implementation.
Quality Assurance and Process Improvement: Ensure that all projects meet the organization’s quality standards and regulatory requirements. Identify opportunities for process improvements and workflow efficiencies within medical group operations. Collaborate with healthcare teams to implement new technologies, patient care initiatives, or administrative processes. Evaluate post-project outcomes to identify lessons learned and make recommendations for future projects.
Risk Management and Problem Solving: Identify project risks and develop mitigation strategies to minimize impact on timelines and project deliverables. Proactively address issues and obstacles that arise during project execution, ensuring continuous progress toward goals. Monitor project budgets and manage resource allocation to avoid scope creep or delays.
Training and Change Management: Develop training materials and facilitate educational sessions for staff to ensure successful adoption of new systems or processes. Assist with the change management process by supporting the communication and implementation of new workflows or technologies. Provide ongoing support to team members and stakeholders during and after project implementation to ensure smooth transitions.
Qualifications & Skills:
- Education: Bachelor’s degree in Business Administration or a related field.
- Experience: 5+ years of successful experience in project management in a healthcare or medical group setting with a strong understanding of clinical and operational workflows.
- Communication: Excellent communication skills, both written and verbal, to effectively communicate with stakeholders.
- Leadership/Interpersonal Skills: Ability to lead teams and work effectively with healthcare professionals, administrators and other project team members.
- Critical Thinking/Problem Solving: Ability to identify and resolve project risks and implement effective solutions.
- Analytical Skills: Ability to analyze data and identify areas for improvement.
- Software Proficiency: Proficiency in project management software and other business-related software.
