The Williams Lake First Nation (WLFN), or the T’exelcemc (people of WLFN) have belonged to the Secwepemc (or Shuswap) Nation for over 6500 years. Today, the WLFN community includes a growing population of over 800 registered members who live on reserve in Sugar Cane, in nearby Williams Lake, BC, and across the globe.

POSITION
The Executive Assistant (EA) to the CFO will be responsible for providing comprehensive support to the CFO. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
Employment Type
Permanent full time, 35 hours per week.
Probation Period
3 months from the date of hire.
Education Required
Business Administration Certificate or equivalent.
Diploma/Certificate in Bookkeeping, Accounting, or related field or equivalent work experience.
Experience Required
Minimum 3-5 years of administrative, clerical or coordination experience.
Minimum 2-3 years of progressively responsible experience in finance/accounting.
Minimum 2-3 years’ experience working with Microsoft Office Software.
Overtime Status
Non-exempt.
DUTIES AND RESPONSIBILITIES
- Provide sophisticated calendar management for the CFO - Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
- Act as a liaison and provide support to the CFO - Arrange and handle all logistics for the CFO meetings, Finance Audit Committee meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes.
- Complete a broad variety of administrative tasks that facilitate the CFO’s ability to effectively do tasks, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.
- Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CFO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect the CFO’s style and organization policy.
- Work closely with the CFO to keep well informed of upcoming commitments and responsibilities, following up appropriately. Anticipate the CFO’s needs in advance of meetings, conferences, etc.
- Maintain open communications with the WLFN Finance team.
- Manage Finance Manual, Finance Support Manual, Finance presentation, FAL Work Plan, Tangible Capital Asset Ledger upkeep,
- Coordinate the CFO outreach activities.
- Assists CFO in policy development when required
- Credit Card Reconciliations: Manage credit card reconciliations for the CFO.
- Maintains RIMS filing and systems for CFO's files such as correspondence, emails and reports creating and labelling files.
- Maintains an inventory of supplies for the CFO.
- Supports the mission, vision, and values of Williams Lake First Nation.
- Contributes to the WLFN’s ongoing success by accomplishing other duties as required or assigned.
