We are seeking a highly organized, professional, and dynamic individual to join our team as a Business Development Specialist helping upper managementteam with RFP and opportunities market ourselves and our clients. You will also be asked to be the liaison between management and the Administration staff and be of Support from time to time to the admin team. As you can see this role will support both the management team with business Development and the Administrative team with day-to-day duties. The ideal candidate will possess excellent communication skills (both written and verbal), and be presentable, and have the ability to work in a fast-paced environment while managing multiple tasks. A personal semi-flexible schedule that allows for travelling occasionally, both domestic and abroad may be required, with a valid passport will be required. Typical travel is 2-3 trips per year, within the province or USA.
Key Responsibilities:
Sales and Business Development Support:
- Assist in identifying and pursuing business development opportunities to expand the company’s market presence.
- Coordinate and manage logistics for trade shows, events, and sales meetings.
- Support the sales team by researching new business opportunities and client prospects.
- Help manage client inquiries, including responding to phone calls, emails, and messages promptly and professionally.
- Assist in creating and preparing sales proposals, service agreements, and responses to Requests for Proposals (RFPs).
- Support the preparation of presentations and materials for client meetings and pitches.
- Collaborate with the sales team to follow up on leads, track sales activities, and maintain a database of potential customers.
Administrative Support to CAO:
- Provide administrative support to the CAO by managing schedules, meetings, and correspondence.
- Assist in coordinating and preparing reports, internal communications, and other business-related documents.
- Handle and prioritize daily administrative tasks to ensure smooth operations.
- Support with HR-related administrative tasks, including recruitment coordination, onboarding, and maintaining employee records.
- Assist with invoicing and other clerical tasks related to business operations.
General Administrative and Clerical Support:
- Handle general office duties, including filing, data entry, and maintaining organized records.
- Provide backup support for day-to-day operations, as needed, within the office.
- Assist in preparing and maintaining company documentation, such as service contracts, client agreements, and internal policies.
Qualifications and Skills:
- Experience: At least 2-3 years of experience in sales support, business development, or administrative roles, preferably in a fast-paced environment.
- Attitude: A positive energetic open minded and inclusive individual that a great co-workers team attitude.
- Education: Bachelor’s degree or equivalent experience in business, administration, or a related field.
- Communication: Excellent written and verbal communication skills with the ability to interact professionally with clients, vendors, and senior management.
- Professional Appearance: A well-groomed, presentable individual with a polished demeanor for client-facing interactions.
- Attention to Detail: Strong organizational skills with the ability to handle multiple tasks efficiently.
- Technical Skills: Proficiency in MS Office (Word, Excel, PowerPoint) and familiarity with CRM software.
- Team Player: Ability to work collaboratively across different departments to achieve business goals.
- Problem-Solving: Proactive in identifying issues and suggesting solutions to streamline processes.
- Time Management: Strong ability to prioritize tasks and meet deadlines in a busy, dynamic work environment.
