Position Overview:The Sales Operations Coordinator plays a vital role in ensuring the accuracy and efficiency of Arcade’s wholesale operations. Working across Sales, Operations, and Finance, this position is responsible for maintaining a clean and accurate order book, entering and tracking orders, setting up new customer accounts, managing materials and purchase orders, and supporting the sales team with customer inquiries and issue resolution. This is a customer service–focused role that ensures orders move smoothly through the system from start to finish — supporting internal teams and external partners to maintain high operational standards and deliver an excellent customer experience.
Overall Responsibilities:
Order Management and Customer Service
· Enter and manage sales orders in NetSuite with precision and timeliness.
· Ensure order book accuracy, including monitoring for discrepancies, backorders, and fulfillment issues.
· Serve as a point of contact between Sales, Operations, and Finance to resolve order-related questions and issues.
· Support sales reps and key accounts with timely updates on order status, inventory availability, and shipping details.
· Process account setups, customer data updates, and order adjustments as needed.
Operations and System Support
· Maintain accuracy in ERP (NetSuite) transactions, including order entry, invoicing, and item setup.
· Collaborate with the Operations team to ensure material purchasing and production schedules align with customer demand.
· Coordinate with the 3PL to ensure shipments are processed accurately and on time.
· Track order flow and proactively identify bottlenecks or errors.
· Assist with managing EDI transactions and integrations for wholesale accounts.
Cross-Functional Coordination
· Partner with Finance to ensure accurate billing, credits, and payment reconciliation.
· Collaborate with the Sales team to align orders, forecasts, and product flow.
· Communicate regularly with internal teams to ensure all stakeholders are informed of key account updates, changes, or delays.
· Contribute to the continuous improvement of order management and ERP workflows.
Reporting and Data Accuracy
· Maintain and distribute reports that track open orders, fulfillment status, and account activity.
· Support data integrity within Netsuite and related systems by regularly auditing key fields.
· Provide administrative and analytical support for wholesale operations KPIs and sales tracking.
Experience and Skills:
· Bachelor’s degree preferred.
· 2–4 years of experience in Sales Operations, Customer Service, or related roles within a wholesale or consumer goods business.
· Customer-first mindset with strong problem-solving skills.
· Collaborative attitude and proactive communication style.
· Hands-on experience working with ERP systems, preferably NetSuite.
· Strong understanding of wholesale order management, logistics, and accounting workflows.
· Excellent communication, organization, and attention to detail.
· Proficiency in Microsoft Excel and familiarity with other Microsoft Office applications.
· Ability to manage multiple priorities and thrive in a fast-paced, team-oriented environment.
Compensation and Benefits:
· Competitive salary $72,000-$82,000 DOE
