Reporting to the Business Operations Manager, this is a multi-faceted role where you will be pivotal in supporting the Business Operations team to help run the Security Clearance, Fleet and Facilities departments within Newton.
This is a varied role in a small close-knit team and would suit someone who thrives off no 2 days being the same. You will need to be in the office for a minimum of 3 days a week to ensure we provide outstanding Facilities support to our colleagues.
Security Clearance
Having Security Clearance is essential for Newton to do its work and this function enables the business to work on projects of strategic national importance
As part of those projects, we need varying levels of checks and clearances to enable us to work hand in hand with them to deliver value. You will have responsibility for the day to day running of the Security Clearance administration which in turn will require you to have Security Clearance.
- Processing our DBS Applications and renewals. These are critical to allowing us to work in certain sectors and the first step in gaining Security Clearance.
- Processing and chasing Security Clearance applications for new joiners and renewals for existing employees. This will involve working with our SC providers to ensure our people have the up-to-date clearances when our clients need them
- Security Clearance Inbox Management - Aswell as processing applications and renewals, being the first port of call for any queries arising from the inbox
Fleet
You will be working alongside the Business Operations Manager to ensure the smooth running of the provision and deliver an excellent service to the business.
- Fleet Inbox Management - Managing driver queries and providing necessary information such as parking permits and company letters
- Assisting with the flow of vehicles into and out of the fleet - this will involve working with our external suppliers as well as our drivers to make the process smooth and efficient
- Responsibility for all record keeping (vehicle changes, P11D reporting for payroll, licence and vehicle checks, employee package options and driver recharges)
- Maintaining positive working relationships with Fleet's external suppliers (e.g. Alphabet, FMG, Continuum, WebFleet and vehicle manufacturers) to enable the delivery excellent value to Newton and high-quality service to our drivers.
Facilities
Supporting the Facilities Manager in running the day-to-day Facilities at our Kingston Bagpuize Office;
- Keeping our office kitchens stocked with drinks and snacks
- Being the first port of call of Facilities ordering
- Attending to report and responding to basic facilities faults
- Service/Tradespeople interactions
- Trained First Aider and Fire Warden
Requirements

- Previous experience in an administration role
