We are partnering with a boutique executive coaching firm seeking a Sales Operations Coordinator. The Sales Operations Coordinator will steward CRM, content, and client pathways, ensuring that every lead is captured, nurtured, and advanced through the full sales cycle, and that marketing content consistently supports those pathways.
The Coordinator will own HubSpot systems, manage the social media calendar and content flow, and actively look for opportunities—within the database, within engagement patterns, and within the market—to improve momentum and conversion. This is an operational role with strategic influence and directly affects revenue flow, visibility, and relational continuity.
Responsibilities:
- Own and maintain the integrity of the HubSpot CRM (contacts, companies, deals, pipelines)
- Ensure every lead is properly captured, categorized, and managed through the entire sales cycle
- Monitor pipeline health, follow-ups, and stalled or warm opportunities
- Proactively identify re-engagement and upsell/cross-sell opportunities
- Maintain clean, reliable data that leadership can confidently use
- Manage leads from first inquiry through close and post-sale handoff
- Draft and send aligned follow-up communications
- Support proposal, contract, and next-step coordination
- Track and analyze sales activity, timing, and outcomes
- Surface insights and recommendations to improve conversion and flow
- Build and manage HubSpot workflows, sequences, and automation that support marketing and sales cycles
- Create and maintain email templates, follow-up sequences, and campaign assets
- Support email marketing campaigns (segmentation, scheduling, reporting)
- Continuously optimize systems to reduce manual work and improve clarity
- Own the social media content calendar (primarily LinkedIn, Instagram with potential expansion)
- Coordinate content themes, timing, and promotion to support programs, launches, and sales efforts
- Draft, schedule, and publish social media content
- Create images, reels, etc. using Canva or other graphics tools
- Repurpose long-form content (talks, articles, emails) into social posts
- Track engagement patterns and adjust content strategy accordingly
- Coordinate timelines, deadlines, and handoffs across sales, marketing, and content
- Organize templates, assets, and documentation for ease and continuity
- Identify and implement process improvements across HubSpot and content workflows
Requirements:
- Strong, hands-on HubSpot experience (CRM ownership, workflows, templates, pipelines)
- Proven ability to manage leads through a full sales cycle
- Experience managing a social media calendar and publishing content for a brand or business
- Clear, warm, and professional written communication
- Strong organizational skills and pattern recognition
- Comfort owning systems and making proactive improvements
- Respect for nuance, confidentiality, and relationship-based work
Compensation: $28-33/hr
Salary is based on a range of factors that include relevant experience, knowledge, skills, other job-related qualifications.
