Spyglass Talent Solutions is a retained recruitment firm based in Raleigh, NC. Our firm has been engaged by a Greenville, NC-based commercial construction company to conduct a search for an Operations Coordinator.
The Operations Coordinator plays a critical role in supporting the day-to-day business operations, with a strong emphasis on billing, financial coordination, and operational follow-through. This individual will work closely with ownership and project teams to ensure that invoices, pay applications, purchase orders, and back-office processes are handled accurately and on time. The role requires someone who is comfortable wearing multiple hats, staying organized amid shifting priorities, and serving as a central point of coordination across the office.
Responsibilities include:
- Manage billing and financial operations, including customer invoicing/pay applications, collections, deposits, vendor payments, and purchase order tracking
- Partner with project managers to ensure billing is accurate, timely, and aligned with project progress
- Provide weekly reporting to company leadership on cash position, accounts receivable, accounts payable, and backlog
- Support and coordinate accounts payable workflows, including invoice review, approvals, and entry
- Assist with preparation and review of basic financial reports, ensuring accuracy and compliance
- Coordinate payroll processing and support payroll filings in partnership with external providers (tax filings, W-2s, 1099s)
- Support HR and administrative functions such as onboarding paperwork, employee recordkeeping, and coordination of interviews
- Review operational, clerical and personnel records to ensure completeness, accuracy, timeliness and regulatory compliance
- Manage office operations including supplies, vendors, equipment, and facilities
- Coordinate with insurance providers on certificates of insurance, renewals, and audit documentation
- Assist with scheduling appointments, coordinating meetings, maintaining calendars, and managing emails
- Serve as a go-to resource for operational questions, helping keep projects and the office moving smoothly
- Assist with basic IT coordination and troubleshooting as needed
- Utilize Sage 300 (and in the future Sage Intacct) for billing, financial tracking, and reporting support
Skills and Experience:
- Bachelor’s degree or equivalent professional experience
- Prior experience with billing, invoicing, or accounting coordination is strongly preferred
- Experience in construction, contracting, or real estate environments is desirable
- Working knowledge of accounting systems and strong proficiency in Microsoft Office
- Highly organized with strong attention to detail and follow-through
- Ability to manage multiple priorities in a fast-paced, hands-on environment
- Strong communication skills and comfort working cross-functionally with field and office teams
- Self-starter mentality with a willingness to step in where needed and “figure things out”
Pay: Up to $80,000.00 per year
