Since 1975, Wes Thomas & Associates has been a leader in land surveying on the Big Island of Hawaii. Based in Kona, we are seeking a motivated and detail-oriented Business Operations & Project Coordinator to support our business operations and assist in the management of a wide variety of projects.
The ideal candidate is a proactive and diligent team player with strong organizational, analytical, reading comprehension, and research skills. Key Responsibilities:
- Assist in tracking project timelines, deliverables, and budgets across multiple departments
- Support day-to-day business operations including scheduling, internal reporting, and workflow coordination
- Help draft and prepare internal and external business documents
- Organize and maintain project documentation and filing systems
- Coordinate with internal teams to ensure smooth handoffs between professionals
- Follow up on action items from meetings and maintain task lists for key projects
- Assist with permitting applications, tracking municipal deadlines, and assembling submissions
- Communicate with clients, vendors, and municipal contacts professionally and promptly
- Identify opportunities to improve operational processes and implement efficiencies
Qualifications
- Bachelor’s degree or equivalent work experience
- Strong organizational skills and attention to detail
- Excellent written and verbal communication
- Comfort working with Microsoft Office (especially Excel, Outlook, and Word)
- Ability to manage multiple tasks and deadlines
- Professionalism when interacting with clients, agencies, and team members
- Proactive mindset with a willingness to ask questions and take initiative
Preferred but not required:
- Prior experience in operations, HR, project coordination, or administrative support
- Familiarity with permitting processes or land development terminology
- Interest in surveying, engineering, environmental science, planning, or related fields
- Experience with Outlook/Google Calendar, Adobe Acrobat, and/or project tracking tools
