ROLE DESCRIPTION
The Supply & Sales Operations Coordinator is a dual-purpose role designed to support the fast-paced sales team while ensuring the daily integrity of supply chain operations. You will act as a vital link between inventory management and customer order fulfillment. The ideal candidate is a detail-oriented professional who thrives on accuracy, enjoys navigating complex business processes, and can maintain high performance in a dynamic, perishable-goods environment.
JOB FUNCTIONS
Sales Operations & Order Management
- Drive Sales Efficiency: Act as a vital resource for the sales team, ensuring all orders are entered with precision and speed to meet daily deadlines.
- Master Digital Platforms: Take ownership of order processing through a variety of third-party networks as well as direct email requests.
- Client Data Management: Maintain the integrity of our customer database by keeping pricing, shipping details, and contact profiles current and accurate.
- Billing Oversight: Ensure financial accuracy by reviewing invoices and managing the internal approval and coding workflow.
Inventory & Supply Chain Coordination
- Reporting & Insights: Generate and share essential inventory and operational reports to keep internal teams informed and agile.
- ERP Excellence: Serve as a power user for BC365 ERP, updating production and stock data to ensure a "real-time" view of our inventory.
- Strategic Product Matching: Align our available fruit supply with specific customer quality specs to ensure the right product gets to the right place.
- Logistics Partnership: Work closely with transportation providers to schedule shipments, proactively solving for on-time delivery.
Communication & Integrated Workflow
- End-to-End Business Fluency: Navigate the complexities of the supply chain, understanding how "upstream" supply shifts affect "downstream" sales success.
- Data Reconciliation: Monitor communications to ensure that vendor portals and internal ERP records remain perfectly synchronized.
- Professional Liaison: Build and maintain strong relationships with vendors, customers, and colleagues through clear, professional communication.
QUALIFICATIONS
- Education: Bachelor’s degree in Business Administration, Supply Chain, Agriculture, or equivalent professional experience.
- Technical Skills: Proficiency in Microsoft Office (especially Excel); experience with ERP systems (BC365 preferred) and third-party sales platforms (iTrade, EDI, etc.).
- Industry Knowledge: Experience in logistics, freight, load building, or the produce/perishable goods industry is a significant plus.
- Soft Skills: High level of attention to detail, strong organizational skills, and the ability to manage multiple priorities under pressure.
- Flexibility: Willingness to adapt to varying schedules based on seasonal operational demands (including occasional nights, weekends, or holidays).
- Languages: Bilingual (English/Spanish) preferred but not required.
