Operations & Administration (Systems + Executive Support) — In‑Office

The Opportunity
We’re hiring a sharp, tech‑savvy operations/admin professional who can run point on systems, process, documentation, and executive support in a growing business.
This is a role for someone who likes clarity, accountability, and momentum — and who can take a rough idea and turn it into a finished, usable result without needing constant hand-holding. This is an in-office position by design.
Early-career candidates are welcome. If you’ve got 1–2 years in a professional business setting and you’re the kind of person who “figures it out,” you may be a great fit.
What You’ll Own
Systems + Process Buildout
- Manage and improve our Applicant Tracking System (ATS) and related tools
- Build and document workflows in online systems (SOPs, checklists, templates)
- Maintain clean data, organized documentation, and consistent process execution
Administration + Executive Support
- Keep meetings tight: agendas, preparation, notes, follow-ups, action tracking
- Create polished documents and internal materials
- Support the President with reporting, coordination, and “whatever needs doing” work
Business Operations + Reporting
- Work in QuickBooks (basic accounting admin, invoicing, A/R support, reporting)
- Create reports and dashboards as needed for leadership visibility

- Comfortable with direct feedback and high standards: coaching is normal here; improvement is expected
- Low-drama and steady: you stay calm, don’t get rattled, and don’t take work personally
- Professional and polished: you communicate clearly, write well, and carry yourself with confidence
- Tech capable: you can learn systems quickly and become the internal “go-to” admin for tools and workflows
- On-site oriented: you want to be in the office and part of daily execution (this is not remote)
This Role Is Probably Not a Fit If…

- You need step-by-step instruction for most tasks
- You don’t like shifting priorities or ambiguity
- You struggle with candid feedback or take work critique personally
- You prefer remote work over being in the office and in the mix daily
Qualifications
- Bachelor’s degree (or equivalent business experience)
- 1–2+ years experience in a professional business environment (operations, admin, coordinator, project support, HR ops, recruiting ops, etc. are all relevant)
- Comfortable working across tools/systems (ATS/CRM, document platforms, reporting, QuickBooks, etc.)
- Strong written communication and ability to produce clean, client-ready materials
Growth Path
This is a high-trust role close to leadership. Someone who performs can grow into operations leadership, systems ownership, project management, or broader business management responsibilities over time.
