Overview
We are seeking a dynamic and strategic Business Operations Manager to lead and optimize our organizational processes. The ideal candidate will possess a strong background in management, strategic planning, and business development, with a proven ability to oversee complex operations and drive growth. As a key leader within our organization, you will be responsible for ensuring operational efficiency, managing profit and loss responsibilities, and fostering a culture of continuous improvement. This position collaborates closely with the Practice Manager and leadership team to support the oversight of accounting, payroll, billing operations, human resources administration, IT coordination, vendor relations, facilities management, and overall office operations. The ideal candidate is highly organized, adaptable, and capable of managing multiple priorities while contributing to an efficient, professional, and positive practice environment.
Responsibilities
- Develop and implement strategic plans to improve operational efficiency and support organizational goals.
- Overseeing daily financial and administrative operations including accounts payable, payroll support, reconciliations, reporting, and expense monitoring.
- Supporting billing department operations and collaborating with billing teams to improve collections, reporting, and revenue cycle performance.
- Managing payroll administration, PTO tracking, onboarding coordination, benefits administration, and HR support functions.
- Coordinating IT-related projects, support requests, onboarding setup, and communication with external IT vendors.
- Managing facility and office operations including maintenance coordination, vendor management, office supplies, and operational support services.
- Supporting compliance initiatives including OSHA, HIPAA, labor law updates, and employee documentation.
- Assisting with operational reporting, budgeting support, vendor contracts, and workflow improvement initiatives.
- Coordinating employee engagement activities, celebrations, and community outreach efforts.
- Manage profit and loss statements by analyzing financial data, controlling costs, and identifying revenue opportunities.
- Lead projects focused on process improvement, automation, and operational scalability to maximize productivity.
- Collaborate with senior leadership to establish KPIs, monitor progress, and adjust strategies accordingly.
- Cultivate a positive organizational culture that emphasizes teamwork, accountability, and continuous learning.
Skills
- Healthcare or medical office experience strongly preferred.
- Prior administrative, operational, or supervisory experience preferred.
- Strong organizational, communication, and multitasking skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Experience with payroll systems, billing systems, EMR platforms, and Microsoft Office preferred.
- Associate or bachelor’s degree preferred but not required.
- Strong management skills with experience supervising diverse teams in a fast-paced environment.
- In-depth understanding of profit & loss management, financial analysis, and budget control.
- Demonstrated ability to implement process improvements that enhance efficiency and reduce costs.
