WE’RE SEEKING VOLUNTEERS: PROJECT & OPERATIONS ADMINISTRATOR (SALES OPERATIONS SPECIALIST)
UNPAID Volunteer Role | Minimum 1 Year Experience Required | 3-Month Commitment
We are looking for a reliable and highly organized Project & Operations Administrator to help us build and manage the operational systems behind our business.
This is not a “virtual assistant” role.
We need someone who can help build structure, maintain organization, coordinate moving parts, and keep operations running efficiently as the business grows.
This role combines:
- project coordination,
- operations management,
- systems organization,
- and execution support.
WHAT YOU’LL BE HELPING BUILD & MANAGE
You will help build, organize, manage, and maintain:
- sales systems (HUBSPOT preferably),
- onboarding systems,
- CRM structure,
- closer coordination,
- reporting workflows,
- scheduling systems,
- and communication pipelines.
You will also help ensure these systems continue running properly daily.
RESPONSIBILITIES:
Operations & Systems
- Build, organize, and manage operational workflows (HUBSPOT preferably)
- Maintain CRM and backend systems
- Track tasks, updates, and follow-through
- Monitor reporting systems and operational records
- Help improve internal structure and workflow efficiency
Team Coordination
- Coordinate with our lead gen specialists, closers and appointment setters
- Track onboarding progress
- Follow up on tasks and responsibilities
- Help maintain communication flow across the team
- Ensure deadlines and deliverables are being followed
Project Support
- Assist with launches, projects, and internal execution
- Track timelines and deliverables
- Help move projects from planning to completion
- Identify bottlenecks or gaps in execution early
WHO WE’RE LOOKING FOR
Someone who:
- is highly organized,
- can help build, organize and manage sales/reporting systems (HUBSPOT preferably)
- communicates clearly,
- follows through consistently,
- thinks proactively,
- and can manage moving parts without constant supervision.
REQUIREMENTS:
- Minimum 1 year experience in operations, administration, project coordination, executive assistance, or related roles
- Should be willing to commit for at least 3 months to this UNPAID VOLUNTEER ROLE
- Strong organizational and communication skills
- Ability to manage multiple responsibilities efficiently
- Ability to work with structure, deadlines, and accountability
- Familiarity with CRMs, dashboards, spreadsheets, sales/ reporting systems/ tools and operational.
