Position Overview
The Sales Operations Administrator plays a critical role in supporting the efficiency, accuracy, and execution of GAV's sales organization.
Working closely with the VP of Sales and broader sales team, this individual will help maintain CRM integrity, support opportunity management, coordinate internal communication, track quotations and proposals, and ensure opportunities move efficiently through the sales lifecycle.
This role is ideal for someone who thrives in a structured environment, enjoys improving processes, and takes pride in maintaining accurate information, strong follow-up, and operational excellence.
Key Responsibilities
Sales Operations & CRM Management
• Maintain accurate customer, contact, opportunity, and quotation records within CRM and business management platforms.
• Monitor pipeline activity and ensure opportunities progress through established sales stages.
• Track active opportunities, pending quotations, customer follow-ups, and key sales milestones.
• Support pipeline reviews, forecasting activities, and sales reporting requirements.
• Identify missing information, stalled opportunities, and process gaps requiring attention.
Quotation & Documentation Support
• Coordinate quote preparation, revisions, approvals, and document management.
• Ensure scopes of work, assumptions, pricing revisions, change orders, and supporting documentation are properly maintained.
• Assist with proposal preparation and sales administration activities.
Cross-Functional Coordination
• Serve as a liaison between Sales, Engineering, Project Management, Operations, Finance, and Service teams.
• Coordinate internal handoffs to support smooth project transitions from sales to delivery.
• Follow up with internal stakeholders and clients to gather information and maintain project momentum.
Executive & Team Support
• Support the VP of Sales with reporting, meeting preparation, action-item tracking, and sales administration.
• Prepare agendas, meeting notes, and follow-up action lists.
• Assist with Experience Centre scheduling, customer visits, demonstrations, and event coordination.

Qualifications
• Experience in sales operations, sales administration, project coordination, customer success, business operations, or a related role.
• Strong organizational and time-management skills.
• Excellent written and verbal communication abilities.
• Experience working with CRM, ERP, or business management platforms.
• Ability to manage multiple priorities in a fast-paced environment.
• Strong attention to detail and commitment to accuracy.
• Proficiency with Microsoft 365, Outlook, Excel, Teams, and related business applications.
Preferred Qualifications
• Experience with Q360, HubSpot, Salesforce, or similar CRM platforms.
• Experience within technology integration, audio visual, physical security, construction, engineering, or project-based sales environments.
• Familiarity with enterprise sales processes and customer lifecycle management.
