Inside Sales & Business Operations Coordinator

We're seeking an Inside Sales & Business Operations Coordinator to play a critical role in supporting the daily functions of our business. Our ideal candidate is highly organized, detail-oriented, and proficient in QuickBooks, with the ability to manage customer orders, purchasing activities, and accounting support functions while serving as a key contributor to the overall success of the organization.
This position will provide someone an intimate role within many departments of the business and an opportunity to grow alongside a rapidly expanding company.
Daily and Monthly Responsibilities
1. Sales Support and Order Management Duties Include But Are Not Limited To:
· Generating customer quotations
· Processing customer sales orders
· Creating and managing purchase orders to suppliers
· Monitoring order status and ensuring timely fulfillment
· Coordinating with suppliers, freight providers, and customers regarding order updates
· Assisting management with sales reporting and forecasting activities
· Maintaining accurate customer and vendor records within company systems
2. QuickBooks and Accounting Support Duties Include But Are Not Limited To:
· Entering and maintaining customer invoices
· Entering and maintaining vendor bills
· Assisting with accounts payable functions
· Assisting with accounts receivable functions
· Processing customer payments and vendor payments
· Reconciling transactions and supporting month-end activities
· Maintaining accurate financial and operational records
· Assisting management with reporting and documentation as required
3. Customer Service and Administrative Support
· Responding to customer inquiries via telephone and email
· Assisting customers with order status, shipment tracking, and product inquiries
· Supporting sales personnel with administrative and operational needs
· Maintaining organized electronic and physical filing systems
· Coordinating internal communications between sales, operations, and management
4. Inventory and Warehouse Support
· Assisting with inventory counts and inventory audits as required
· Supporting shipping and receiving activities during peak workload periods
· Assisting with order preparation, boxing, and palletizing when necessary
· Supporting warehouse operations as directed by management
5. Product and Industry Knowledge
· Remain knowledgeable and up-to-date on all product lines represented by the Company
· Develop a working knowledge of compressed gas equipment, cylinder valves, regulators, and related products
· Participate in ongoing training and professional development activities
6. Communication and Professionalism
· Communicating openly, honestly, and constructively
· Treating all employees, suppliers, and customers with dignity, respect, and courtesy
· Taking responsibility for and making every effort to resolve communication, trust, and respect concerns and problems
· Asking for information needed to perform job responsibilities
Skills and Qualifications
· Associate's Degree or Bachelor's Degree Preferred
· Minimum 5 years of QuickBooks experience required (QuickBooks proficiency will be tested during the interview process.)
· Demonstrated proficiency in QuickBooks required
· Experience generating quotations, sales orders, and purchase orders
· Experience with accounts payable and accounts receivable functions preferred
· Excellent verbal and written communication skills
· Strong organizational and time management skills
· High attention to detail and accuracy
· Ability to understand and thrive in an environment that requires technical competency
· Strong computer skills including Microsoft Outlook, Word, and Excel
· Ability to manage multiple priorities and deadlines simultaneously
· Ability to work independently while contributing as part of a team
Preferred Qualifications
· Experience in industrial distribution, manufacturing, or wholesale environments
· Experience with inventory management systems
· Experience supporting sales and purchasing functions
· Experience processing freight shipments and coordinating logistics
Location
On Site – Mandeville, LA
Salary and Benefits
· $55,000 - $75,000 depending on experience
