Job Summary
We are seeking a dynamic and results-driven Sales & Operations Coordinator to join our team. This role is pivotal in driving business growth through strategic sales initiatives, effective account management, and seamless operational support.
The Sales & Operations Coordinator is the primary point of contact for customers, suppliers and the production team. This role coordinates projects from initial inquiry through final delivery, ensuring work is accurately documented, properly scheduled, adequately supplied and completed on time.
As both the first and last customer touchpoint, the Sales & Operations Coordinator delivers a professional customer experience by coordinating pick-ups and deliveries, preparing invoices, coordinating payments and ensuring clear communication throughout each project.
Responsibilities
Sales
- Answer phone calls, emails and customer inquiries.
- Welcome and assist walk-in customers.
- Understand customer requirements and qualify incoming jobs based on shop capabilities.
- Prepare quotations and confirm parts availability and estimated delivery dates.
- Create and maintain customer accounts and records in Sage.
- Process customer purchase orders and convert quotations into work orders and invoices.
- Prepare invoices and coordinate payment collection.
- Coordinate customer pick-ups and deliveries, including safe loading of completed products.
- Keep customers informed of project status, completion and any expected delays.
Project Coordination
- Coordinate projects from quotation through final delivery.
- Create production work orders in Sage.
- Prioritize work based on customer commitments and shop capacity.
- Communicate project requirements clearly to the production team.
- Monitor project progress, follow up on outstanding jobs and resolve delays proactively.
- Ensure projects are completed on time and meet customer expectations.
- Take ownership of assigned projects from start to finish.
Operations
- Coordinate the daily production schedule and assign shop priorities.
- Schedule customer vehicles, pick-ups and deliveries.
- Review production schedules daily with the Shop Lead to ensure timely completion.
- Participate in hand-over meetings, reviewing work orders and identifying potential issues.
- Monitor inventory and consumable requirements based on upcoming work and advise the General Manager.
- Gather required materials for upcoming jobs.
- Prepare and organize outgoing shipments and customer pick-ups.
- Maintain accurate timesheet records.
Purchasing and Inventory
- Assist in monitoring inventory levels.
- Assist with purchasing materials and consumables.
- Create and follow up on purchase orders.
- Coordinate with suppliers to ensure timely delivery of materials
General & Administration
- Maintain accurate records and project documentation in Sage.
- Process production work orders.
- Arrange outgoing shipments.
- Support continuous improvement initiatives.
Education
- High school diploma or equivalency.
- Post-Secondary degree preferred, ideally in a relevant field (marketing, business admin, management).
- Equivalent, relevant industry experience will be considered.
Experience
- 2+ year(s) work experience.
- Experience in a customer service position.
- Experience with Sage software is considered an asset.
- Experience with diesel engines (Marine, and/or Commercial Vehicles, and/or Trucks, and/or Industrial Equipment).
- A valid Class 1 commercial driver's licence is considered an asset.
- Experience in the manufacturing, welding or mechanic industries is an asset.
Skills
- Proven experience in outside sales, B2B sales, or business development roles
- Strong customer service skills.
- Strong organizational skills.
- Ability to manage around tight deadlines and still get the details right.
- Ability to mediate conflict and set paths to resolution.
- Strong oral and written communication skills in English.
- Knowledge of computer software including Microsoft Windows, Office, and cloud application.
