Position Title: Business Applications + Data Manager
The Business Applications + Data Manager is responsible for ensuring Medical Alley's business applications, data, and technology platforms work together to support operational excellence and an exceptional partner experience.
Serving as the primary administrator for the organization's core business systems—including HubSpot—this position leads CRM optimization, data governance, reporting, automation, and application administration while coordinating with third-party technology vendors to ensure reliable, secure, and effective technology services.
Working across departments, this role partners with staff to improve how information is captured, maintained, and utilized, enabling more informed decision-making and creating scalable processes that support Medical Alley's continued growth.
Business Applications & CRM Management (40%)
- Serve as the primary administrator for HubSpot and other business applications, ensuring systems are effectively configured, maintained, and optimized.
- Develop and maintain CRM standards, data governance practices, and documentation that promote consistent data entry and system adoption.
- Partner with departments to understand operational needs and translate them into practical technology solutions.
- Configure workflows, automations, custom properties, and integrations that improve efficiency and reduce manual processes.
- Provide user training, onboarding, and ongoing support to maximize adoption of business applications.
- Evaluate opportunities to improve existing applications and recommend new technologies that enhance organizational effectiveness.
Data Management, Reporting & Automation (30%)
- Maintain the integrity, quality, and consistency of organizational data across business systems.
- Design and maintain dashboards, reports, scorecards, and KPIs that provide meaningful operational insights for leadership and department teams.
- Identify trends, data gaps, and reporting opportunities that improve decision-making.
- Develop and maintain automated workflows and system integrations that streamline business processes.
- Establish data standards, documentation, and governance practices that support long-term scalability.
- Champion responsible and ethical implementation of AI-enabled tools that improve productivity while maintaining organizational standards.
Technology Vendor & Platform Management (20%)
- Serve as the primary liaison with outsourced IT support providers, ensuring timely resolution of technology issues and strong service delivery.
- Manage relationships with software vendors and technology partners, including licensing, renewals, implementations, and ongoing support.
- Coordinate upgrades, integrations, and enhancements across the organization's technology ecosystem.
- Partner with external IT providers on cybersecurity, device management, infrastructure, and technology planning.
- Maintain inventory and administration of organizational software applications and user access.
Digital Operations & Organizational Support (10%)
- Oversee the organization's website and selected digital platforms in partnership with external vendors.
- Support event technology, registration platforms, and digital engagement tools.
- Contribute to cross-functional initiatives that improve operational effectiveness and member experience.
- Perform other duties that support the mission and strategic objectives of Medical Alley.
Qualifications
Required
- Bachelor's degree in Information Systems, Business Administration, Business Analytics, Management Information Systems, Computer Information Systems, or a related field, or equivalent combination of education and experience.
- Experience administering CRM or business application platforms (HubSpot preferred).
- Experience creating reports, dashboards, and workflow automations.
- Demonstrated ability to manage multiple software platforms and coordinate third-party technology vendors.
- Strong understanding of data quality, documentation, and business process improvement.
- Excellent organizational, analytical, and problem-solving skills.
- Ability to communicate effectively with both technical and non-technical audiences.
- Strong project management skills with the ability to manage multiple priorities independently.
Preferred
- Experience with HubSpot administration and CRM optimization.
- Experience with Microsoft Power Platform, Power BI, Tableau, or similar reporting tools.
- Experience with integration platforms such as Zapier or Microsoft Power Automate.
- Familiarity with website content management systems, preferably WordPress.
- Experience working with SaaS applications in a collaborative, cross-functional environment.
- Interest in emerging technologies and AI-enabled business applications.

Category: Full-time, Exempt employee.
This position is in the Twin Cities of Minneapolis-St. Paul, MN. Hybrid schedule with required in-office days on Tuesday, Wednesday, and Thursday.
