RestoPros of Chicagoland West is looking for a highly organized, customer-focused Business Operations Manager to become a key member of our leadership team.
This is not just another office position. You will become the operational hub of our business—working directly with customers, insurance companies, field technicians, project managers, and ownership to ensure every project moves smoothly from the first phone call through final payment reporting to our General Manager.

Primary Responsibilities - Customer Experience
- Serve as one of the primary points of contact for homeowners and commercial customers.
- Provide outstanding customer service during what is often a stressful time.
- Keep customers informed throughout mitigation, remediation, and reconstruction projects.
- Schedule inspections and coordinate appointments.
- Answer incoming phone calls and respond promptly to customer inquiries.
- Maintain excellent communication with insurance adjusters, property managers, plumbers, and referral partners.
Estimating & Insurance Administration
- Create accurate mitigation and reconstruction estimates using Xactimate.
- Prepare estimate revisions and supplements.
- Review technician notes, moisture logs, photos, and documentation for estimate accuracy.
- Communicate directly with insurance adjusters regarding approvals, supplements, and claim status.
- Ensure all required documentation is complete before billing. Strong Xactimate and documentation practices are essential to maximizing reimbursement and minimizing delays.
Operations Coordination
- Assist in scheduling field technicians and production crews.
- Coordinate equipment assignments and monitor utilization.
- Schedule subcontractors and material deliveries.
- Track job progress from emergency response through reconstruction completion.
- Help prioritize emergency response calls.
- Ensure projects remain on schedule and customers receive timely updates.
- Monitor job status to identify issues before they become problems.
Accounting & Financial Administration
- Manage Accounts Receivable.
- Follow up on outstanding invoices and customer balances.
- Assist with collections activities in a professional manner.
- Enter invoices and job costs into QuickBooks.
- Process vendor invoices.
- Assist with job costing and profitability tracking.
- Reconcile completed jobs for billing accuracy and timely invoicing. Restoration firms commonly rely on accurate job costing, QuickBooks integration, and timely collections to maintain profitability.
Office Administration
- Maintain accurate job files and documentation.
- Upload project photos and documents.
- Organize contracts, work authorizations, and customer records.
- Maintain CRM and job management software.
- Order office supplies and assist with general office management.
- Support management with reporting and operational improvements.
Qualifications Required
- Previous experience in the restoration, insurance restoration, mitigation, construction, or property damage industry
- Excellent customer service skills
- Strong organizational abilities
- Ability to manage multiple projects simultaneously
- Strong verbal and written communication skills
- Professional phone etiquette
- Computer proficiency with Microsoft Office
- Xactimate experience
- Ability to work independently while supporting a collaborative team
Preferred
- QuickBooks experience
- Accounts Receivable and collections experience
- Insurance claims knowledge
- IICRC industry knowledge
- Experience working with restoration software such as Encircle, DASH, PSA, or Restoration Manager
- Understanding of water mitigation, mold remediation, fire restoration, and reconstruction workflows
