Work Schedule
Requires full‑time onsite presence during initial onboarding. After onboarding, the role transitions to a hybrid schedule (approximately 2–3 days onsite per week).
Monday–Friday, 8:30 a.m.–5:00 p.m.
Compensation:
Base Salary: $110,000–$130,000, commensurate with experience
Benefits: Professional development, 20 flexible time off days, 7 company paid holidays, 401k plan with a 3% match after one year of service

Why This Role Matters
The Business Operations Manager sits at the intersection of leadership vision and operational execution. The President and Vice President set direction and drive the business forward. This role turns those priorities into action, structure, accountability, and follow‑through.
Some days that means building a process that doesn’t yet exist. Other days it means spotting a problem before it becomes one, aligning people around a priority, or stepping in to handle work that simply needs to get done.
Success in this role requires comfort with ambiguity, sound judgment, and the ability to move work forward without waiting for perfect clarity or detailed instructions.
This is not an Executive Assistant or client‑facing advisory role. It’s for someone who loves operations, systems, and problem‑solving — and finds satisfaction in knowing the business runs better because they’re in it.
What You’ll Do
Turn Vision Into Execution
- Translate leadership ideas and priorities into actionable plans, ownership, and timelines.
- Move work forward even when every detail isn’t defined.
- Help leadership focus where their time creates the most value.
Build Structure Where It Doesn’t Exist
- Create and refine processes, systems, and standard ways of working.
- Identify inefficiencies and address root causes, not just symptoms.
- Clarify ownership and next steps across the business.
Lead and Support Internal Operations
- Coordinate and support back‑office and administrative team members.
- Remove obstacles that make it harder for people to do great work.
- Balance leading others with personally handling work that needs to get done.
Protect the Business
- Maintain visibility into HR, payroll, benefits, insurance, accounting, legal, and compliance.
- Recognize issues early and determine what requires leadership involvement.
Own the Client Experience Outside the Room
- Improve operational touchpoints that shape the client experience.
- Ensure systems and processes reflect the quality of Wingspan’s work.
Manage External Relationships
- Coordinate with technology, HR, payroll, accounting, legal, insurance, and marketing partners.
What You Bring
- 8–10 years of experience building operational infrastructure in a growing organization.
- Strong proficiency with Asana and Google Suite (or comparable tools).
- Experience turning broad direction into structured action.
- Comfort operating in dynamic, evolving environments.
- A track record of creating clarity and process in growing organizations.
- Strong prioritization and judgment skills.
- Experience leading people and coordinating work through others.
- Ability to zoom out strategically while managing details effectively.
- Curiosity, ownership, and a drive to continually improve operations.

- Reduce operational noise and decision fatigue for leadership.
- Build systems that make the business easier to run and scale.
