KEY RESPONSIBILITIES
Client Experience & Guest Services Oversight
- Ensure a premium hospitality experience
- Perform front‑of‑house responsibilities, including welcoming visitors and providing necessary support.
- Ensure reception and common areas remain tidy, well‑stocked, and presentable, and supporting meeting room setup for client visits.
- Maintain hospitality and service standards: a professional, efficient, and welcoming workplace environment.
Workplace Operations & Multi-Site Management-shared services locations.
- Oversee daily operations across multiple floors.
- Ensure day-to-day office operations run smoothly by completing administrative support tasks such as office supply management, clerical duties, coordinating repairs, and assisting with logistics for in‑house and off‑site meetings.
- Conduct regular walkthroughs to ensure all spaces are maintained.
- Manage space planning activities and occupancy updates.
- Coordinate with building management on property needs.
Employee Support, Onboarding & Culture
- Coordinate onboarding across floors.
- Coordinate all onboarding activities across floors, ensuring new hires have a smooth and well‑organized first‑day experience, including workspace setup, access, and orientation logistics.
- Draft and distribute office‑wide new‑hire announcements, ensuring timely communication and alignment with HR and shared services.
- Serve as the point person for onboarding‑related questions, directing employees to the appropriate HR or shared services resources as needed.
- Own and maintain the firm’s internal communications site on SharePoint, including posting updates, announcements, and relevant resources to keep staff informed and engaged.
- Act as the primary point of contact for employee inquiries related to HR policies, benefits, and the Workday platform, coordinating with the shared HR service team to ensure timely and accurate responses.
- Assist with planning and executing firm events and socials, including sourcing venues, coordinating bookings, developing event ideas, and supporting onsite logistics.
- Provide administrative support to the Executive Assistant, including printing, preparing meeting materials, organizing documents, and assisting with logistics for executive meetings.
Financial Management & Budget Oversight
- Track spending and review invoices.
- Identify cost-efficiency opportunities.
Vendor, Contract & Facilities Management
- Serve as primary liaison for vendors and contractors.
- Manage Service Level Agreement, Certificate of Insurance, and performance.
- Coordinate repairs, projects, and any moves.
Safety, Security & Compliance
- Oversee access control and visitor systems.
- Conduct safety checks and ensure compliance.
Special Projects
- Support expansions, renovations, and office enhancements.
Platform Knowledge and Systems
QUALIFICATIONS & REQUIREMENTS
- Bachelor’s degree preferred.
- 5+ years’ experience in workplace, facilities, or office management.
- Ability to manage budgets and reporting.
- Strong communication and organizational skills.
- Proficiency in Microsoft Office Suite, experience in managing SharePoint sites will be preferred.

Physical Requirements
- This position requires the physical capabilities to work in an office environment, which may include prolonged periods of sitting at a desk and working on a computer. This opportunity is for an existing vacancy with the company. The anticipated base salary range for this position is $65,000 to $80,000. Exact salary depends on several factors such as experience, skills, education, and budget. Salary range may vary based on geographic location. In addition to base salary, this position is eligible for participation in a bonus program. In addition, The Company offers a variety of benefits to eligible employees, including health insurance coverage, wellness programs, life and disability insurance, retirement savings plans, paid leave programs, education-related programs, paid holidays and vacation time, and many others. Many of these benefits are subsidized or fully paid for by the company.
