We are looking for a dedicated Business Operations & Order Management Specialist to join our team. In this role, you won't just fill a seat—you will learn every facet of our business process from the ground up, tracking custom merchandise from the moment a customer walks into our showroom to the final delivery of the finished product.
Key Responsibilities
1. Purchasing & Vendor Relations
· Oversee purchasing blank printed goods, apparel blanks, and promotional items.
· Maximize profit margin by quoting large jobs and cross-referencing distributor pricing
· Enter and pay vendor bills, actively addressing and reconciling any invoice or pricing differences.
2. Workflow Tracking & Order Management (The "Calendar" Master)
· Manage and track production workflows through their entire lifecycle utilizing our specialized ShopWorks (SW) system.
· Act as the company’s core "calendar" champion, monitoring deadlines to ensure orders stay on schedule.
· Proactively oversee critical timeline milestones:
· When are the customized goods needed?
· Have the blank garments/goods been ordered and received correctly?
· Is the custom artwork approved and ready for production?
· Assist with the physical receiving of inventory as needed to verify accuracy.
3. Financial & Administrative Operations
· Communicate with clients to secure formal order and artwork approvals.
· Apply client payments to sales orders and securely process and deposit checks.
· Manage and run our bi-weekly team payroll.
· Generate and track monthly sales commission reports.
4. Showroom Management & Customer Care
· Act as the friendly voice of Progressive Graphics by managing the main telephone line.
· Warmly greet and assist walk-in customers looking for custom apparel and promotional merchandise.
· Maintain, organize, and refresh our physical showroom layouts and product samples (t-shirts, caps, bags, drinkware, etc.).
Key Performance Indicators (KPIs)● Shipping Ratio: Total shipping spends vs. total COGS (Goal: <2%).
● Error Rate: Percentage of orders requiring re-orders due to sizing/color mistakes.
● Turnaround Time: Days from "Order Approved" to "Goods Received."
Requirements & Qualifications
· Experience: Previous experience in office administration, retail/showroom management, order tracking, purchasing, or basic bookkeeping is highly valued.
· Software Skills: Familiarity with ShopWorks (SW) or a similar ERP/order tracking software is a massive plus.
· Organization: High attention to detail with the ability to manage overlapping timelines and production dates.
· Communication: Warm, professional communication skills for working with walk-in clients, phone inquiries, vendors, and production staff.
· Reliability: A dependable professional who thrives in a consistent, 40-hour on-site work week.
