ABOUT THE ROLE
The Sales Operations Specialist keeps the commercial engine running. This role is the operational backbone of the sales team, supporting the EVP of Growth & Strategy, the Sales Account Executive, the VP of Clinical Strategy, and the Director of Acute Sales as we scale VSTOne across the acute, post-acute, and VA markets.
Where the account executives and sales leaders own deals through close, this role owns the systems and workflows that let them move faster: a clean and current pipeline, well-run RFP and RFI processes, accurate reporting and scorecards, coordinated demos, and disciplined follow-up. The role also drives early-stage growth through lead generation, prospect research, and qualification, feeding vetted opportunities to the right seller.
This is a high-visibility role with room to grow. The person in it touches nearly every deal and works shoulder to shoulder with senior commercial and clinical leaders across the company.
Key Responsibilities
Pipeline and Sales Operations
- Own pipeline hygiene in HubSpot: keep records current, stages accurate, close dates realistic, and next steps documented across every open opportunity.
- Build and maintain sales reporting, dashboards, and scorecards, including support for the 4DX WIG scorecard and weekly, monthly, and quarterly results.
- Track sales activity and outcomes data, and surface trends, risks, and stalled deals for the EVP and sales leaders.
- Refine and document the team's playbooks for lead handling, demos, RFP and RFI responses, and pipeline management.
RFP and Deal Support
- Coordinate RFP and RFI responses end to end: manage timelines, assemble content, and pull in product, clinical, and finance input so responses ship on schedule.
- Maintain a library of reusable response content, references, and outcomes data to speed future submissions.
- Support VA channel operations, including SEWP V RFQ logistics, renewals tracking, and documentation.
Lead Generation and Prospect Engagement
- Generate and qualify leads through research and outreach, then route vetted opportunities to the right account executive or sales leader.
- Support marketing campaigns and lead-generation activity, and track results back to pipeline.
- Identify prospect needs, map them to the right product fit, and keep track of next steps toward qualification.
Demos and Meeting Coordination
- Conduct product demos of our ambient vision technology, including running the in-office demo room for virtual sessions, and coordinate demos, discovery calls, and meetings between prospects and the sales, clinical, and executive team.
- Prepare briefing materials and account research so sellers and clinical leaders walk into every meeting ready.
- Represent VirtuSense's products and services with a working command of the market and how our solutions fit each buyer.
Daily and Monthly Responsibilities
- Keep the pipeline full, current, and clean with qualified opportunities.
- Move RFP and RFI responses forward against their deadlines.
- Conduct demos and set up meetings between prospects and the right sales, clinical, or executive team members.
- Compile sales activity and outcomes data, and update dashboards and scorecards.
- Report to the EVP of Growth & Strategy with weekly, monthly, and quarterly results.
- Travel domestically in the U.S. roughly 20% of the time, with other duties as assigned.
Minimum Role Requirements
- Bachelor's degree in Business, Marketing, Communications, Healthcare, or a related field preferred.
- 1-3 years in sales operations, sales support, business development, or a related role.
- Strong organization and time management across multiple priorities and deadlines.
- Strong communication, interpersonal, and coordination skills.
- Experience with CRM or sales tracking tools.
- Proficiency in Microsoft Office applications, with strong Excel skills for reporting.
- Ability to manage multiple priorities and follow through consistently.
- Willingness to travel domestically up to 20%.
Preferred Qualifications
- Experience in healthcare technology or SaaS environments.
- Experience supporting lead generation, pipeline management, or RFP and RFI responses.
- Comfort presenting and running product demos to clinical and executive audiences.
- Familiarity with HubSpot, Salesforce, or similar CRM platforms.
- Experience building and maintaining sales dashboards, scorecards, or performance reporting.
- Familiarity with VA, government, or public-sector healthcare procurement, including SEWP V.
- Experience supporting cross-functional sales, clinical, and marketing initiatives.
