Job Summary
The Senior Operations Specialist – Services is responsible for managing end-to-end post-order operations, ensuring timely service delivery, coordinating with global stakeholders, and driving operational excellence. This role requires strong organizational skills, cross-functional collaboration, and the ability to manage multiple projects while maintaining compliance and customer satisfaction.
Key Responsibilities
- Maintain effective communication with managers, internal stakeholders, customers, and vendors to ensure seamless operational execution.
- Manage end-to-end post-order operations, ensuring timely deployment and delivery of services.
- Develop, implement, and maintain operational processes and system assurance protocols.
- Monitor operational activities to ensure projects are completed on time and within budget.
- Create Purchase Orders (POs), delivery notes, and other operational documentation within the ERP/CRM system.
- Track vendor and customer invoices, payments, and related documentation to ensure timely processing.
- Support Accounts Payable (AP) and Accounts Receivable (AR) activities as required.
- Coordinate with sourcing, procurement, finance, and other cross-functional teams to ensure smooth operational workflows and compliance.
- Manage global operations efficiently while meeting productivity, quality, and cost objectives.
- Identify opportunities to improve operational processes, enhance efficiency, and reduce errors.
- Prepare project status updates, closure reports, and management reports.
- Ensure compliance with company policies, customer requirements, and applicable business standards.
Required Qualifications
- Bachelor's degree in Operations Management, Business Administration, Supply Chain Management, or a related field.
- Minimum of 2 years of proven experience in operations, project coordination, or service delivery.
- Strong understanding of operational processes and project coordination.
- Experience using CRM systems and Microsoft Dynamics 365 Business Central (preferred).
- Excellent organizational, analytical, and problem-solving skills.
- Ability to manage multiple priorities in a fast-paced, global environment.
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
- Excellent written and spoken English.
Preferred Skills
- Experience working with international customers and vendors.
- Knowledge of procurement, sourcing, finance, or supply chain operations.
- Ability to analyze operational data and recommend process improvements.
- Strong attention to detail and commitment to accuracy.
- Ability to work independently while collaborating effectively with cross-functional teams.
