Hi, we’re Speks, a Brooklyn-based product design company creating premium sensory products for teens and adults. We sell globally through wholesale, retail, and direct-to-consumer channels, and we’re growing quickly.
We’re looking for an experienced, systems-oriented Business Operations Manager to strengthen the infrastructure behind our growing company. This role will focus primarily on financial and accounting operations, HR operations, legal operations, and the systems that connect them.
This is not an office management position. We need a hands-on operator who can identify where the business needs more structure, create practical processes, and ensure those processes are implemented consistently.
While we are hiring at the Manager level, we welcome candidates with Director-level experience or the ability to grow into broader business operations leadership.
This is a full-time, in-office/hybrid role based in New York City.
What You’ll Do:
Financial and Accounting Operations
- Manage and improve accounts receivable, accounts payable, customer credit, expense management, payment approvals, and related reporting.
- Partner with our external accounting resources on reconciliations, month-end processes, financial reporting, and documentation.
- Create systems that improve financial visibility, accuracy, controls, and follow-through.
- Coordinate with insurance brokers, underwriters, vendors, and other financial service providers.
HR and People Operations
- Build and maintain consistent processes for onboarding, offboarding, benefits, payroll coordination, employee records, reviews, and other HR activities.
- Serve as the primary liaison with our PEO and support employee questions regarding benefits, payroll, policies, and HR systems.
- Maintain accurate and confidential employee documentation, agreements, milestones, and compensation information.
- Help leadership develop and implement clear company policies and people processes.
Legal and Compliance Operations
- Organize and maintain contracts, corporate records, insurance documents, employment agreements, and other legal materials.
- Track renewals, deadlines, obligations, approvals, and required follow-up.
- Coordinate with outside counsel, insurance providers, and other professional service partners.
- Help create processes that reduce risk and ensure legal and compliance matters are completed on time.
Systems and Business Operations
- Identify inefficiencies across departments and develop scalable workflows, approval processes, documentation, and reporting systems.
- Establish clear ownership, timelines, and accountability for recurring work and cross-functional initiatives.
- Manage and improve company-wide software, applications, permissions, integrations, and reporting tools.
- Use AI, automation, and technology to reduce manual work and improve access to accurate information.
- Support office administration, facilities, vendors, and product sample coordination as needed.
What We’re Looking For
- At least five years of experience in business operations, finance or accounting operations, HR operations, legal operations, or a related role.
- A track record of building and improving systems, not simply administering existing processes.
- Hands-on experience with financial processes such as AR, AP, expenses, reconciliations, or reporting.
- Experience supporting HR administration, benefits, payroll, onboarding, contracts, insurance, or compliance.
- Strong Excel and Google Workspace skills.
- Experience using AI tools, automation, or integrations to improve operations.
- Strong judgment, organization, communication, and follow-through.
- Experience in a rapidly growing company is strongly preferred.
