Position Summary
The Sales Operations Executive is responsible for managing the end-to-end order lifecycle from customer purchase orders to vendor procurement, shipment coordination, delivery and invoicing. The role works closely with Sales, Finance, Vendors, Logistics Partners and Customers to ensure accurate order execution, healthy profit margins and timely fulfilment.
Key Responsibilities
Process customer purchase orders accurately and promptly.
Review purchase orders for pricing, quantities, delivery requirements and commercial terms.
Create and maintain sales orders in the ERP system.
Track order status from receipt through delivery and invoicing.
Raise purchase orders with vendors and coordinate order confirmations, lead times and shipment schedules.
Follow up with vendors on delivery commitments and monitor backorders.
Verify vendor pricing before placing purchase orders.
Calculate and validate gross margins.
Verify freight, shipping and other landed costs.
Ensure sales orders comply with approved pricing and margin policies.
Support vendor special pricing requests and deal registrations where required.
Coordinate shipments with freight forwarders and logistics partners.
Prepare shipping documentation where required.
Monitor inbound and outbound deliveries and resolve shipping issues.
Coordinate with Finance on vendor invoices, customer invoicing and credit notes.
Resolve pricing discrepancies and support month-end order reconciliation.
Provide order status updates to the Sales team.
Coordinate product availability with vendors and support customer delivery commitments.
Maintain accurate records in the ERP system.
Support process improvement initiatives and ensure compliance with internal SOPs and vendor requirements.
Requirements
Diploma or Degree in Business, Supply Chain, Logistics, Finance or a related discipline.
2–5 years of experience in Order Management, Commercial Operations, Procurement, Supply Chain or Distributor Operations.
Experience in Cybersecurity, IT Distribution, Technology Distribution, Value-Added Distribution (VAD), Networking, Enterprise Software or System Integration will be an advantage.
Experience with ERP systems such as SAP, Microsoft Business Central, NetSuite, Oracle or equivalent.
Strong understanding of order fulfilment and logistics processes.
Good numerical skills with the ability to calculate margins and validate costs.
Excellent communication, coordination and organisational skills.
Ability to work independently and manage multiple priorities.
