Job Summary
We are a London-based technology and business services company providing commercial, technical and operational support across a range of business activities.
Our operations combine technology-enabled processes, business administration, commercial project coordination and data-driven management reporting.
We are seeking a commercially experienced and analytically capable Business Operations Administrator to support the Managing Director and contribute to the continued development of our internal business operations.
Key Responsibilities
1. Business and Franchise Operations Administration
- Coordinate administrative processes relating to commercial operations, including multi-location business activities, supplier communications and operational project tracking.
- Maintain structured records covering operational expenditure, supplier transactions, service arrangements and project deliverables.
- Consolidate information from different operational functions into clear management updates.
- Identify inconsistencies in operational records and assist management in improving administrative efficiency.
- Support business expansion and new commercial projects through background research, documentation and operational planning.
2. Executive and Senior Management Support
- Provide direct administrative and operational support to the Managing Director.
- Coordinate management meetings, business correspondence, calendars and follow-up actions.
- Prepare management briefing papers, business summaries, financial schedules and commercial documentation.
- Handle commercially sensitive information with appropriate confidentiality.
- Prioritise competing administrative requests and progress assignments independently.
3. Commercial and Financial Administration
- Prepare and maintain invoices, purchase records, quotations, expense schedules and payment trackers.
- Monitor outstanding payments and maintain supporting documentation for accounting purposes.
- Reconcile operational data against supplier invoices, receipts and purchasing records, identifying discrepancies for management review.
- Support basic bookkeeping administration and coordinate documentation for external accountants.
- Produce spreadsheet-based management reports covering expenditure, transaction activity and operational performance.
4. Data Analysis and Technical Administration
- Maintain and analyse operational datasets using Microsoft Excel and other appropriate software tools.
- Prepare numerical summaries and structured reports to support management decisions.
- Apply quantitative reasoning to identify inconsistencies, trends and operational inefficiencies.
- Assist with improving reporting processes through spreadsheet automation, structured data handling and technical tools where appropriate.
- Support internal quality-assurance activities, including reviewing the accuracy and consistency of business information.
5. Commercial Coordination and Stakeholder Management
- Communicate with clients, contractors, suppliers and external professional advisers.
- Coordinate document collection, commercial onboarding and supplier administration.
- Maintain accurate records of agreements, correspondence and outstanding actions.
- Support procurement, internal administration and operational improvement initiatives.
Person SpecificationEssential Requirements
Applicants must demonstrate the following:
- Relevant commercial operations experience: At least 18 months of combined practical experience in business operations administration, franchise or multi-site operations, commercial administration or closely comparable roles involving multiple operational stakeholders.
- Senior management support: Documented experience providing direct administrative or project coordination support to a company director, CEO or senior management team, including preparation of business records and follow-up on management instructions.
- Financial administration: Practical experience with invoicing, expense tracking, supplier payment records, purchasing documentation and preparation of financial information for accounting or management purposes.
- Multi-function coordination: Experience simultaneously managing operational documentation, external stakeholder communications, reporting deadlines and routine commercial administration.
- Advanced spreadsheet competence: Strong Microsoft Excel proficiency, including formula-based calculations, data validation, lookup functions, reconciliation and preparation of structured management reports.
- Numerical and analytical capability: Demonstrable ability to interpret quantitative information, verify numerical accuracy and communicate findings clearly to non-technical management.
- Independent working: Ability to prioritise multiple workstreams with limited supervision while maintaining accurate and auditable administrative records.
- Professional communication: Strong written and spoken English, including the ability to prepare business correspondence, internal reports and management documentation.
Highly Desirable Requirements
Preference will be given to candidates who demonstrate several of the following:
- Experience supporting both franchise or multi-site operations and senior executive management.
- Experience in hospitality, food-service, retail franchise or another fast-moving commercial operating environment.
- A bachelor's degree or postgraduate qualification in Mathematics, Physics, Engineering, Bioengineering, Data Science or a related quantitative discipline.
- Practical knowledge of Python, C++ or other programming or data-processing tools.
- Experience evaluating AI-generated information, performing data quality reviews or supporting technology-related operational activities.
- Experience supporting operational documentation across more than one company or business function.
- Familiarity with procurement, inventory administration, supplier reconciliation and routine financial controls.
- Experience conducting commercial research and producing concise numerical or analytical reports.
Candidate Suitability and Shortlisting
This position is intended for candidates who can demonstrate an established combination of commercial operations experience, financial administration, executive support and analytical capability.
Applications based solely on general office administration, customer service, front-of-house hospitality, or academic qualifications without relevant operational experience are unlikely to meet the full requirements of the position.

Experience
- Prior office experience or administrative experience is highly preferred
- Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Drive), and QuickBooks
- Demonstrated organizational skills with the ability to multitask effectively in a fast-paced environment
- Experience with data entry and clerical tasks that require accuracy and attention to detail
- Excellent typing speed combined with good phone etiquette for professional communication
- Familiarity with office equipment such as printers, scanners, and telephones is advantageous
