Position Overview:

We are seeking a detail-oriented and proactive professional to support our Human Resources, Finance, and Sales departments. This multifaceted role requires strong organizational skills, discretion, and the ability to manage multiple priorities across teams.

Human Resources Responsibilities

Serve as the first point of contact for general HR inquiries, including benefits, PTO, and payroll
Assist managers with the performance review process
Coordinate interviews between applicants and hiring managers
Manage the job offer process from coordination to completion
Oversee and process semi-monthly payroll

Finance Responsibilities

Accounts Payable

Enter vendor invoices promptly and accurately
Reconcile health insurance invoices with payroll deductions
Collaborate with the VP of Finance to prioritize urgent payments
Process commission payments for channel partners

Accounts Receivable

Generate and enter customer invoices in QuickBooks
Distribute invoices to clients and follow up on outstanding payments
Coordinate with the VP of Finance for any outstanding payments

Sales Support Responsibilities

Coordinate travel arrangements and itineraries for the sales team
Order and manage marketing materials and supplies
Support proposal and contract management under the direction of the VP of Sales
Assist with lead tracking and management
Facilitate the transition of new clients from Sales to Operations

Requirements

Experience in HR, finance, or administrative support roles
Proficiency in QuickBooks and Microsoft Office Suite
Strong communication and interpersonal skills
Ability to manage sensitive information with confidentiality
