About the Role

Tec-Refresh is hiring a Sales Operations Specialist to own our quote-to-order cycle. You'll turn opportunities into accurate quotes, POs and invoices in hours, not days; keep customers informed from order to delivery and make sure our professional, managed and security services are scoped, quoted and ordered correctly on every deal. If you take pride in zero-error paperwork and same-day turnaround, this role is built for you.

What You'll Do

QUOTING, PRICING & SERVICES

• Build accurate hardware, software, licensing and Tec-Refresh services quotes in HubSpot, our system for all quoting.

• Pull pricing and availability from distributors and OEM portals; apply deal registrations, SPAs, promotions and margin rules.

• Maintain services SKUs, rate cards and bundles; align SOWs with sales and delivery so scope, hours and pricing match the quote.

• Manage renewals for warranties, subscriptions, SaaS and security licensing well ahead of expiration.

DEAL DESK

• Review deal structure, pricing, discounting and margin before quotes go to customers.

• Route non-standard pricing and terms through HubSpot approval workflows; enforce margin floors and approval thresholds.

• Structure multi-OEM, multi-year and product-plus-services deals, including co-terming, ramped pricing and OEM incentive programs.

• Verify contract, payment and billing terms align with the quote before booking.

ORDERS, OEM & CUSTOMER INTERFACE

• Convert closed-won deals into vendor POs the same day, matched exactly to the customer quote.

• Track orders to delivery; resolve backorders, substitutions and shipping issues, and give customers and reps proactive ETAs.

• Serve as primary operational contact for OEMs, distributors and customer purchasing; maintain portal access and handle RMAs and credits.

HUBSPOT CRM & REPORTING

• Own data quality and maintain the product library, quote templates, pipelines and workflows that eliminate manual steps.

• Deliver weekly pipeline, bookings, margin, backlog and renewal reports and dashboards.

INVOICING & BILLING

• Generate customer invoices promptly upon shipment or service delivery, including milestones, T&M and recurring managed services (MRR).

• Reconcile vendor bills against POs and customer invoices; flag discrepancies.

What You Bring

• 3+ years in sales operations, order management or sales administration at an MSP, MSSP or VAR.

• Strong, proven HubSpot Sales Hub skills: 2+ years as a daily power user or admin, building quotes, templates, product library, pipelines, workflows and dashboards.

• Strong deal desk experience: deal structuring, discount approvals, margin governance and non-standard terms review.

• Hands-on experience quoting and ordering through major IT distributors and OEM partner portals.

• Working knowledge of the IT channel and our focus OEMs: Palo Alto Networks, Arctic Wolf Networks, Rubrik, Everpure, AWS, Microsoft, Cisco, Arista, CrowdStrike, Proofpoint and Extreme Networks.

• Advanced Excel skills (lookups, pivot tables, reconciliation and forecasting models).

• Strong grasp of margin, cost vs. sell price, and recurring vs. one-time revenue.

• Exceptional attention to detail, able to manage 20+ open orders and multiple urgent requests at once.

• Clear, professional written and verbal communication with customers and vendors.

Nice to Have

• HubSpot Sales Hub or CRM certification.

• Experience with QuickBooks or a similar accounting system.

• Exposure to MSSP service bundles and security licensing models.
