Role Overview:

As a Business Operation Specialist, you’ll be at the heart of our operations, handling everything from managing operations, tender/ bid processes to oversee financial aspects and keep our operations functions running smoothly. What You’ll Do:

Operations Management:
Oversee and manage daily IT operations to ensure efficiency and effectiveness across all business functions.
Monitor and report on operational performance, identifying areas for improvement and implementing solutions.
Develop and implement operational policies and procedures to improve productivity and service quality.
Ensure our office systems and processes run smoothly and address any issues that come up.
Coordinate with various departments to gather the necessary information and documentation for the submission of tenders
Tender and Bid Management:
Take the lead in preparing, submitting, and managing tenders and bids.
Work closely with various teams to ensure all bids meet client requirements and deadlines.
Develop strategies to make our bids stand out and track their progress.
Provide regular updates on the status of tenders and bids.
Develop and submit compelling tender responses, ensuring that deadlines and project requirements are met.
Financial Management:
Assist with budgeting and financial planning related to tenders and projects.
Keep an eye on financial performance, preparing reports to help guide decisions.
Offer insights and cost estimates to support our bids and tenders.
Process Improvement:
Look for ways to improve our tender management processes and overall operations.
Share ideas for best practices in bid management and financial analysis.
Stakeholder Communication:
Serve as the point of contact between our company and clients, vendors, and other external partners.
Ensure clear and effective communication to help drive successful project outcomes.

What We're looking for:

Experience in operational management, tender and bid management, financial analysis, and ideally in an IT or technology-focused environment.
Oversee and manage the end-to-end process of project management, from initiation to delivery.
Collaborate with cross-functional teams to ensure alignment of milestones, timelines, and resource planning.
Develop, maintain, and improve project management methodologies, ensuring timely project delivery.
Lead the preparation and submission of bid proposals, tenders, and RFPs, ensuring compliance with client requirements.
Support business development efforts by identifying new opportunities, preparing proposals, and building strong client relationships.
Analyze business data, identify trends, and provide actionable insights to drive operational excellence and continuous improvement.
Monitor project milestones, deliverables, and timelines, ensuring all parties are on track to meet deadlines.
Facilitate and lead business analysis sessions to understand client needs and translate them into effective solutions.
Provide regular project updates and reports to senior leadership, ensuring transparency and accountability.

Mandatory Skills & Qualifications:

Proven experience in Project Management and leading cross-functional teams.
Strong PMO (Project Management Office) experience with a deep understanding of project management best practices.
Expertise in Bid Preparation, Tender Submission, and RFP processes.
Solid background in Business Development, with experience identifying and capitalizing on growth opportunities.
Strong Business Analysis skills, with the ability to translate client requirements into actionable plans.
Proficient in setting and monitoring milestones, timelines, and project delivery, ensuring projects are completed on schedule.
Excellent organizational, communication, and leadership skills.
Ability to work under pressure and manage multiple projects simultaneously.
Familiarity with project management software (e.g., MS Project, Jira, Asana, etc.).
Strong organizational skills and the ability to handle pressure and manage multiple tasks while meeting deadlines.
Detail-oriented with a knack for accuracy in both document preparation and financial analysis.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with bid management software.
Excellent communication skills and the ability to work well with different teams and external partners.

Qualifications:

Education: Bachelor’s degree in business administration, IT Management, Operations or a related field.
Experience: 2-3 years of relevant experience in managing IT services Operations, tenders, IT bids, finances etc.
Required candidates with strong knowledge in IT Operations
Knowledge: A good grasp of IT service industry standards and practices.
