Position Overview
The Executive Assistant supports the Chief Financial Officer by enabling them to focus on strategic priorities that drive the growth of the NAC group while meeting legal, governance, and other requirements. The CFO oversees Finance, Governance, Legal, and HR functions, including board and committee support.
The role demands exceptional confidentiality, adaptability, and a proactive mindset. The ideal candidate will thrive in a dynamic environment, balancing fast-paced periods with productive efforts during quieter times. Key Responsibilities:
- Executive Support: Provide high-level administrative support to the CFO, enabling focus on strategic priorities. Manage correspondence, draft and refine reports and presentations, maintain SharePoint and other databases, and coordinate complex travel itineraries.
- Calendar & Scheduling: Proactively manage the CFO’s calendar, scheduling meetings, resolving conflicts, and optimizing time for maximum efficiency. Anticipate deadlines and prepare necessary materials in advance.
- Communication & Confidentiality: Act as the primary liaison for all CFO-related matters, handling inquiries with discretion and sound judgment. Manage confidential information with integrity, aligning with organizational policies.
- Board & Governance Support: Coordinate Board of Directors’ activities, including scheduling meetings, preparing agendas, compiling presentation materials, and recording accurate minutes. Ensure adherence to governance standards and provide logistical support for Board events.
- Leadership Meeting Coordination: Organize executive meetings, including retreats and team sessions. Responsibilities include agenda planning, logistical arrangements, minute-taking, and tracking action items.
- Records & Documentation: Maintain an efficient filing and retrieval system for reports, budgets, correspondence, and meeting minutes. Utilize technology to ensure accurate transcription and record-keeping.
- Project & Event Management: Oversee assigned projects and recurring events, ensuring attention to detail and timely follow-ups. Support occasional evening or weekend commitments as needed.
- Executive Coverage & Hospitality: Provide coverage for the Executive Assistant to the President during absences. Welcome guests, manage meeting room setups, and arrange catering for a professional and hospitable environment.
Qualifications:
- Experience: Minimum 5 years of executive support experience at a senior level.
- Education: Diploma/Degree in Business Administration or equivalent experience (asset).
- Technical Skills: Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Visio, Power BI) and Adobe. Ability to create professional presentations and documents.
- Communication: Exceptional verbal and written skills; French proficiency is an asset.
- Organization & Attention to Detail: Strong multitasking, editing, and proofreading skills under tight deadlines.
- Professionalism & Adaptability: Ability to interact effectively with executives, staff, service providers, and Board members while handling confidential matters with discretion.
- Initiative & Problem-Solving: Self-directed, proactive, and capable of thriving in fast-paced environments with minimal supervision.
