Position Summary
InfoWorks is seeking a proactive, detail-oriented Business Operations Specialist to join our Operations team. This dynamic role bridges staffing and financial functions, playing a key part in both consulting resource coordination and client billing. You'll be responsible for optimal staffing alignment across consulting engagements, ensuring accurate invoices, and efficient time and expense processing.
This is a full-time position that offers the opportunity to work cross-functionally with consultants, leadership, and sales. You’ll report to the President and collaborate closely with company leadership on staffing needs along with the Controller on billing.
How You’ll Make an Impact
Consultant Staffing & Resource Coordination
- Optimize Staffing: Maintain full consultant utilization by aligning availability, skills, and interests with active and upcoming project needs.
- Relationship Management: Build strong relationships with consultants to understand their experience and professional preferences.
- Communications Hub: Act as a liaison between consultants, HR, sales, and leadership for resource planning.
- Staffing Solutions: Attend internal sales and delivery meetings to stay informed of pipeline opportunities and proactively recommend staffing solutions.
- Opportunity Tracking: Maintain and regularly update a visible pipeline of upcoming opportunities via tools such as spreadsheets, whiteboards, and email communications.
- Systems Expertise: Become highly proficient in InfoWorks’ internal contract management and timekeeping system.
- Third-Party Coordination: Support and manage relationships with third-party contractor resources when internal staffing is unavailable.
Billing & Financial Operations
- Set up new clients and approved contracts in the internal contract management system.
- Generate accurate, timely client invoices aligned with contract terms and internal policies.
- Review consultant time entries, client billable expense reports, and billing allocations for accuracy and completeness.
- Maintain and reconcile records in internal time/billing systems and QuickBooks Desktop.
- Coordinate with consultants to ensure accurate time and client expense submissions.
- Track billing status of active contracts and follow-up on outstanding items as needed.
- Provide process improvement recommendations to streamline billing operations.
Requirements & Ideal Qualifications
- Bachelor’s degree or equivalent experience preferred.
- 1–5 years of experience in billing, operations, staffing, or professional services coordination.
- Experience in a consulting or client-service environment is highly desirable.
- Proficiency with Microsoft Office Suite; experience with QuickBooks Desktop is preferred.
- Strong organizational skills and exceptional attention to detail.
- Excellent written and verbal communication abilities.
- Comfortable reviewing contracts, SOWs, and internal documentation.
- Professional, trustworthy, and capable of handling sensitive and confidential information.
- Self-motivated, collaborative, and able to manage multiple priorities independently.

- This is a full-time position (40 hours/week) based in our Nashville office.
- A flexible schedule and occasional remote work may be available depending on business needs.
- Compensation will be commensurate with experience and qualifications.
