Position Summary:
We are seeking a detail-oriented and proactive professional to serve as the primary liaison between our manufacturer sales representatives and Fire-Dex. This role will be responsible for managing and streamlining communications, maintaining accurate data in Salesforce, and overseeing a variety of administrative functions, including contract management. The ideal candidate will possess strong organizational skills, a collaborative mindset, and the ability to navigate cross-functional priorities.
Key Responsibilities:
Salesforce & Communication Support

Serve as the central point of contact between manufacturer sales representatives and Fire-Dex.

Maintain accurate, up-to-date records of communications, opportunities, and sales activities in Salesforce.

Monitor and track sales pipeline progress, ensuring all relevant data is properly documented.

Generate and distribute Salesforce reports and dashboards to relevant stakeholders.
Bids & Contract Management

Conduct detailed review of bids to analyze compliance with technical specifications and to validate alignment with project requirements.

Coordinate with internal teams to ensure compliance with contractual terms.

Prepare supporting documentation for contract proposals.

Track contracts, amendments, and renewals to ensure compliance.

Maintain organized contract files and records for quick retrieval and reporting purposes.
Administrative Support

Support project coordination efforts across teams.
-
Maintain internal databases, contact lists, and shared resources.

Provide general administrative support as needed to ensure smooth daily operations.
Qualifications:
-
Bachelor’s degree in Business Administration, Communications, or related field (or equivalent experience) preferred.

2+ years of experience in a liaison, administrative, or coordinator role—preferably in a manufacturing or sales environment.

Proficiency in Salesforce CRM preferred.

Strong organizational skills with excellent attention to detail.

Effective written and verbal communication skills.

Ability to manage multiple priorities in a fast-paced environment.

Ability to understand and interpret technical data and specifications

Possess a strong sense of urgency, follow-through, and diligence, including meeting deadlines and can remain organized with and keep track of multiple sources of information and data

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Preferred Skills:

Experience with Salesforce.

Familiarity with manufacturer–sales representative relationship dynamics.

Knowledge of supply chain or manufacturing processes.
