Position Overview:
The Business Operations Coordinator is a vital part of our roofing and construction company, ensuring seamless coordination between administrative operations, project management, and team support. This role requires a proactive, detail-oriented professional with a deep understanding of the roofing and construction industry, as well as the ability to foster a positive team spirit.
Key Responsibilities:
1. Office Operations:
• Oversee daily office operations, ensuring a well-organized and productive workspace.
• Manage schedules, team meetings, and internal communications to streamline workflows, and supply management.
• Maintain accurate records for projects, permits, and vendor agreements.
• Ensure office spaces are maintained, safe, and equipped to promote productivity.
2. Administrative Support:
• Manage and coordinate internal communications, calendars, and meetings.
• Assist with the preparation of reports, presentations, and other documentation.
3. Human Resources Coordination:
• Support HR processes, including onboarding, employee scheduling, and maintaining personnel records.
• Act as a liaison for employees, addressing questions about office policies or benefits.
4. Vendor and Budget Management:
• Coordinate with vendors and service providers to maintain office equipment and services.
• Assist in tracking office budgets, invoicing, and expense reports.
5. Project Coordination:
• Support project managers with scheduling, documentation, and client communications.
• Coordinate materials, deliveries, and timelines to keep roofing and construction projects on track.
• Serve as the point of contact for clients to address inquiries and ensure satisfaction throughout the project.
6. Vendor and Contractor Relations:
• Work closely with vendors, suppliers, and subcontractors to ensure timely delivery of materials and services.
• Negotiate contracts and maintain strong relationships with partners in the roofing and construction industry.
7. Compliance and Safety:
• Maintain up-to-date knowledge of roofing and construction regulations, ensuring compliance across all projects.
• Support the implementation of safety protocols and training programs for staff.
8. Budget and Financial Oversight:
• Assist in tracking project budgets, managing invoices, and processing payroll.
• Ensure efficient allocation of resources to optimize project profitability.
9. Leadership and Team Support:
• Serve as the go-to resource for team members, facilitating collaboration and resolving operational challenges.
• Support company leadership with administrative tasks and special projects.

Qualifications:
• 3 plus years of experience in Roofing/Construction office management, operations, & administration.
• Proven experience in office management, operations, or administration.
• Strong organizational skills with the ability to manage multiple projects and deadlines.
• Proficiency in office software (e.g., MS Office, Google Workspace) and familiarity with project management tools is a plus.
• Excellent communication and interpersonal skills.
• Ability to adapt and problem-solve in a fast-paced environment.
• Familiarity with construction management software and tools (e.g., Buildertrend, Procore, QuickBooks).
• Knowledge of permits, contracts, and safety regulations in roofing and construction.
• Excellent interpersonal and communication skills, with a focus on fostering team spirit and client satisfaction.
