We are currently seeking a Business Operations Coordinator to join our team. This role plays a vital part in supporting day-to-day operations, assisting sales initiatives, and ensuring seamless administrative coordination across departments. The ideal candidate is organized, adaptable, and eager to contribute to a collaborative and fast-paced environment.
Key Responsibilities
Administrative & Office Support
- Manage and coordinate schedules, appointments, and meetings for executives and team members.
- Handle incoming calls, emails, and inquiries with professionalism and efficiency.
- Prepare, proofread, and organize documents, reports, and presentations.
- Maintain organized digital and physical filing systems for efficient information retrieval.
- Provide administrative support across departments and assist with cross-functional projects.
Sales & Client Support
- Support the sales team with proposals, quotes, and client documentation.
- Track leads, client communications, and follow-ups through the CRM system.
- Assist in maintaining accurate sales and customer data.
- Coordinate client communications to ensure timely responses and strong customer relationships.
- Contribute to client satisfaction through proactive support and follow-up.
Operations & Coordination
- Collaborate with operations and training teams to schedule sessions, resources, and personnel.
- Monitor contract requirements and ensure smooth delivery of services.
- Support inventory, supply management, and logistical coordination.
- Identify and recommend process improvements to enhance efficiency and collaboration.
- Assist with reporting and data tracking related to business performance.
Qualifications
- Previous experience in administration, sales coordination, or operations support.
- Strong organizational, problem-solving, and multitasking skills.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with CRM or scheduling systems (e.g., Salesforce) considered an asset.
- Ability to adapt quickly and thrive in a fast-paced environment.
- Demonstrated discretion when handling confidential information.
