The Opportunity
As Business Operations Associate, you will be accountable for the administrative, logistical, and operational management of partnerships, congresses, and events, ensuring full compliance with contractual, transparency, and regulatory requirements.
You will support internal teams and external stakeholders by coordinating Professional Relations (PR) activities, managing benefits, contracts, and donations, and ensuring accurate reporting in line with French and Group (EST-M & Global) regulations.
In this role, you will work cross-functionally with operational teams, agencies, and healthcare professionals, contributing to the successful delivery of national conventions and Astellas events in France and abroad while safeguarding compliance and transparency obligations.

Key Responsibilities
- Support employees in preparing and managing Professional Relations (PR) files, ensuring completeness, accuracy, and compliance with deadlines, DMOS, and internal procedures.
- Declare benefits, donations, and contracts subject to Transparency requirements in internal data management tools; collect, verify, and record IBOs related to HCP engagements.
- Manage operational and financial processes including purchase orders, reimbursement claims (CNOM), invoice tracking, and dashboards for HCP payments and booth rentals.
- Coordinate external communications with healthcare professionals regarding agreements, reimbursements, and event-related logistics.
- Define event objectives with internal stakeholders, manage projects with agencies and business owners, and plan, monitor, and optimize event budgets in full regulatory compliance.
Essential Knowledge & Experience
- Experience in business operations, event management, or administrative coordination within a regulated environment.
- Strong understanding of compliance, transparency, and Professional Relations requirements (DMOS).
- Proven ability to manage complex administrative processes, documentation, and reporting with high attention to detail.
- Strong organizational, coordination, and stakeholder communication skills.
- Proficiency in spoken and written business English.
Preferred Knowledge/Experience/Qualifications
- Project management experience within the pharmaceutical or healthcare industry.
- Knowledge of the pharmaceutical regulatory environment (DMOS, Compliance, PV, Legal).
- Strong proficiency in Microsoft Office (Excel, PowerPoint, Word).
- Experience with relevant systems and tools such as ATRIUM, VEEVA, and DocuSign.
Education/Qualifications
- Bachelor’s or Master’s degree in Business Administration, Operations Management, Life Sciences, or a related field, or equivalent.
Additional Information
- This is a permanent full-time position.
- Location: This position is based in France.
- This position follows our hybrid working model. Role requires a blend of home and minimum 2 day per week in our respective local affiliate office. Flexibility may be required in line with business need. Candidates must be located within a commutable distance of the office.
