As our business continues to grow, we are strengthening our commercial organization and are looking for a Sales Operations Assistant & Executive Support to work closely with the CEO and sales team.

You will work directly with Justin Stindt, Founder and Managing Director of Justin Stindt Consultants.

His management style is direct, fast-paced, and results-oriented. He values clarity, preparation, autonomy, and forward momentum.

The role
Reporting directly to the CEO, and working in close interaction with the sales team, you will operate at the core of the commercial and operational workflow, from opportunity structuring to following up with clients and interaction documentation.
Your role is key to ensuring:
- reliability of commercial and sales information
- smooth internal and external coordination
- quality and compliance of commercial documentation
- responsiveness and discipline in follow-ups
This is a deliberately hands-on, structuring, and cross-functional role, designed for someone who values execution, reliability, prioritization, and operational excellence, and who acts as a backbone of the commercial organization.
This role is particularly well suited for someone who enjoys structuring, anticipating, and enabling execution alongside a driven and engaged CEO, in a fast-paced, results-oriented environment.
What this role is not
- This role is not a sales or prospecting position and does not include closing targets.
- It is not a generic personal assistant or catch-all support role.
- It is not focused on deep strategic analysis or long research projects.
- It is not suitable for someone seeking a slow-paced environment.
- It is not a role for someone who waits for detailed instructions before acting; it requires initiative, ownership, and proactive execution.
Time split
- 80% – Sales Operations : Support to senior leadership on commercial activities, CRM management, coordination, documentation, and follow-up.
- 20% – Executive Support : Organization, prioritization, preparation, and operational follow-through of the CEO’s day-to-day activities.
Key responsibilities
Sales operations & deal documentation
- Create and structure commercial files including contacts, proposals, and client documentation.
- Assemble and verify documents based on inputs from internal teams and clients.
- Follow up on action items after business development discussions, including clarifications, updates, and validations.
CRM & pipeline management (Pipedrive)
- Maintain the CRM with a high level of accuracy: meetings, notes, opportunities, and statuses.
- Track follow-up actions and remind stakeholders when input is required.
- Produce simple dashboards and reports for internal meetings.
- Ensure data consistency, reliability, and overall CRM hygiene.
Coordination & commercial support
- Support preparation of commercial and business development meetings.
- Schedule and coordinate interactions with prospects and partners.
- Act as a smooth interface between the CEO, senior leadership, and external stakeholders.
Executive & administrative support
- Organize the CEO’s inbox, priorities, and operational follow-up.
- Coordinate business travel and logistics.
- Manage filing, archiving, and version control of commercial documents.
- Prepare weekly summaries and internal support materials.
- Conduct light research or data collection when required.
Your profile
This role is a good fit if you:
- Have a first experience in an administrative or operational role within a structured or demanding environment, internships included.
- Are comfortable with digital tools such as office suites, CRM systems, collaboration tools, and e-signature platforms.
- Are known for your attention to detail, reliability, and organizational skills.
- Can manage multiple topics in parallel without sacrificing quality.
- Communicate clearly, both in writing and verbally.
- Enjoy supporting senior leadership and contributing to collective performance.

Languages
- Fluent English is required.
