POSITION SUMMARY
The Museum of Wisconsin Art is a dynamic museum and cultural hub located in West Bend, Wisconsin, just forty minutes north of downtown Milwaukee. The Chief Financial Officer (CFO) reports to the Director | CEO and is an ex-officio member of the Finance and Investment Committees of the Board of Directors, with responsibility for providing quarterly reports to the board on the Museum’s finances. The CFO is responsible for all financial functions of the Museum, including accounting and finance, reporting, forecasting, investment management, and a variety of other financial activities. The CFO oversees a part-time accounting assistant responsible for general bookkeeping. The CFO’s salary will be commensurate with the selected candidate’s experience.

IDEAL QUALIFICATIONS
- Minimum of five (5) years of successful financial leadership experience in a mid to high-level accounting position, preferably in a not-for-profit cultural or educational organization
- Experience with both contributed and earned revenue sources
- Knowledge about not-for-profit tax codes and policies
- Ability to analyze trends and develop performance metrics
- Ability to manage multiple and sometimes shifting priorities
- Successful record of building relationships with internal leadership, staff, engaged board members, and external constituents
· Ability to serve as a strategic advisor to the CEO and the board of directors
- Solid decision-making ability and negotiation skills
- Maintains strict confidentiality over financial data and employee-related issues
- Knowledge of Microsoft Office Suite products (Outlook, Word, and Excel) and QuickBooks
- Bachelor’s degree is required; master’s degree or CPA preferred.
RESPONSIBITIES
General Accounting
· Oversees all accounting functions of the Museum and provides timely and accurate financial reporting to the CEO and board of directors. Reports include but are not limited to the annual operating budget, balance sheet, income statement, and quarterly investment activities
· Responsible for all general accounting activities including cash disbursements, cash receipts, expense reports, account reconciliations, vendor and lease agreements, inventory and fixed assets
· Prepares the month-end and year-end closing with timeliness and accuracy
· Prepares all financial materials for the board and board committees
· Maintains currency with all FASB requirements relative to not-for-profits, and ensures compliance with all policies and procedures
Cash Management
· Manages relationships with bank, investment, and credit card partners
· Manages cash account balances to ensure operations are properly funded from month to month
· Manages the Museum’s restricted funds, documenting activity and developing annual fund distributions
· Oversees the Museum’s cash management processes, such as bank transfers and ACHs; responsible for approving and releasing electronic payments
Payroll and Benefits
· Responsible for payroll and related cash flow
· Works closely with the CEO to review annual staff pay rates and increases to ensure equity and fairness at all staff levels
· Oversees 401(k) participation and investment policy management
· Manages the administration of property and liability insurance policies and employee health benefit policies
Development
· Manages donor funds to ensure that they are allocated and spent appropriately
· Manages monthly reconciliation with the Director of Development to ensure that all contribution activity is properly recorded
· Works closely with the CEO and the Director of Development to establish endowment and restricted funds and to track their quarterly and annual activity
· Manages the preparation of financial reports for grant applications and final reports
· Ensures that grant activity is completed in compliance with grant requirements
Financial Planning and Analysis
- Works closely with the CEO and senior staff in the development of the annual operating budget
· Analyzes monthly and yearly activity, comparing results to budget and forecast
· Prepares benchmarking analyses and establishes relevant metrics to evaluate operations and compare peer organizations
· Provides continual improvement to the budgeting process through the education of senior staff on financial issues impacting department budgets
Tax Accounting and Audit
· Manages all aspects of the annual year-end audit and is responsible for the accuracy and integrity of the audited financial statements
· Manages the preparation and filing of federal and state tax returns and the timely payment of taxes including payroll and sales tax
· Ensures adequate controls are installed and that substantiating documentation is approved and available such that all purchases may pass independent and governmental audits
· Oversees record retention requirements
PHYSICAL REQUIREMENTS
The position is predominantly sedentary requiring the ability to sit, bend, stand, and walk. May require occasional stooping, reaching, stair-climbing, and repetitive motions of the hands and wrists related to writing and typing at an electronic keyboard. Requires hearing, talking, handling, and grasping regularly. Specific vision conditions include close vision reading over long periods. May require lifting up to thirty (30) pounds.
SCHEDULE | HOURS
This position is 15-to-20 hours weekly during normal business hours; position may include some after-hour special events and fundraising activities.
